**Purpose of the role**
As our Receptionist/Facilities Assistant, you will be a vital part of our team, providing administrative and facilities support to ensure the efficient functioning of our office.
**Responsibilities**
- Timely and welcoming of clients/guests arriving at the office ensuring signing in/out procedures are followed.
- Ensuring meeting rooms are tidy and presentable before and after every meeting.
- Order/Collect refreshments or lunches for meetings.
- Being the first point of contact for any building issues or faults - resolving locally or escalating to the Head of Facilities as appropriate.
- Assist with maintaining contracts for essential central services - cleaning, security, maintenance, archiving, waste disposal etc.
- Escalate information from wider building management.
- Book and manage car parking spaces.
- Putting away cleaners stock orders incl monitoring the cleaner log book, ordering items when needed.
- Be a Fire Warden/First Aider for the office
- Activate/Deactivate Building and Office fobs ensuring records updated
- Stationery stock checks, orders and storage
- Kitchen stock checks, orders and storage
- Responsibility for distribution of incoming mail and outgoing mail
- Signing for deliveries and contacting the relevant member of staff to deal with them once delivered.
- General enquiries on room bookings, how to use equipment etc
- Collecting required documents from new starters and performing Right to Work checks
- Compiling and maintaining all required management information/records relating to H&S and other related records for the location.
- Act as on-site liaison for contractors
- Carrying out Monthly H&S Risk Assessments of the office
- Support with other duties - fleet management, fire warden and first aider records, provision of eyecare vouchers, DSE Assessments.
- Ensure that departmental processes and procedures are adhered to
- Adhere to HR Policies and Procedures
- Undertake mandatory training as directed.
- Previous office administration experience
- Confident, with the ability to engage with people at all levels
- An eye for detail with the ability to oversee the smooth running of the office facilities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong organisational, multitasking and communication skills and independent work abilities
- Detail-oriented, reliable, and punctual
