**Job Purpose**

**Main Duties and Responsibilities**
1. Fill a rotating duty officer role, leading on FOI enquiries, Subject Access Requests, Data Protection Impact Assessments and other data protection related enquiries and records and information management provision.
2. Provide specialist practitioner advice to members of University staff. Raise awareness of their legislative responsibilities and obligations under the Freedom of Information (Scotland) Act 2002, Data Protection Laws and related information management legislation and assist in leading activities to best meet the University’s compliance requirements.
3. Contribute to the management and review of the University’s Information Asset Register (IAR).
4. Relying on a detailed knowledge and understanding of information legislation, assist in the consultation, as appropriate, between Heads of School/College/Service, University legal advisers and relevant third parties in resolving complex and sensitive information compliance and records and information management cases.
5. Contribute to the design and delivery of an information compliance suite of training materials.
6. Monitor and evaluate initiatives in information compliance within the Higher Education sector and beyond, to assess their applicability for the University and its requirements
7. Contribute to the development, revision and production of University records and information management practices, policies and guidance to substantially improve the management of the University’s information resources, particularly in relation to digital records

**Knowledge, Qualifications, Skills and Experience**

**Knowledge/Qualifications**

**Essential**:

A1 Scottish Credit and Qualification Framework level 9 (Ordinary Degree), and relevant formal training i.e. a recognised postgraduate qualification in records and information management with a demonstrable commitment to continuous professional development/or significant experience of records and information management in a complex corporate environment.
A2 A demonstrable and comprehensive practical knowledge of contemporary record keeping.
A3 Knowledge of records management, data protection and freedom of information legislation in a complex public sector environment.
A4 Awareness of the impact and issues evolving from UK information legislation case law.
A5 Awareness of the changing situation regarding Data Protection Laws and an awareness of the potential impact on the University.
A6 Demonstrable experience of working with Office 365.

**Desirable**:

B1 Recognised postgraduate qualification in records and information management with demonstrable commitment to continuous professional development.
B2 Knowledge and awareness of the developing capabilities of IT systems, including Office 365 and specialist systems developed to meet the need of the records and information management market.
B3 Data Protection qualification.

**Skills**

**Essential**:

C1 Effective communication, both written and verbal.
C2 Demonstrable and extensive training and presentation experience.
C3 Ability to work with all levels of University staff.
C4 Ability to work, under pressure, to tight timescales whilst ensuring high level of personal productivity.
C5 Ability to interpret institutional needs.
C6 Attention to detail.
C7 Discretion and diplomacy.
C8 Demonstrable ability to exercise judgement and show initiative to resolve problems independently.

**Desirable**:

D1 Project management - complex information or compliance projects.

**Experience**

**Essential**:

E1 Relevant extensive professional experience in a records and information management and compliance role.
E2 Coordination of information audits, especially in relation to records migration projects e.g. SharePoint.
E3 Provision of in-depth advice, guidance and training on aforementioned information governance and legislation.

**Terms and Conditions**
Salary will be Grade 7, £38,474 - £43,155 per annum.
This post is full time (35 hours per week) and open ended.
