Haematology Senior Clinic Clerk/outpatients

We are seeking an enthusiastic and highly motivated individual to join our busy outpatient team within Haematology Outpatients
As a Senior Clinic Clerk/Administrator, you will coordinate and manage key administrative functions for patients referred to Haematology, providing a clear liaison/contact point for patients, carers, team members and referrers. You will be responsible for ensuring patients receive high quality, professional administration and benefit from excellent customer service.
You will have good organisational skills and relevant experience. You are able to use your own initiative as well as work as part of a team. You have good communication skills, and are able to multi task. You have good written and verbal communication and interpersonal skills. Excellent keyboard skills and experience of working in multidisciplinary team environment are essential.
You have good customer service and communication skills, along with proven written and verbal skills. You should have a good working knowledge of Microsoft Office packages. You will have the ability to work unsupervised and to prioritise your workload. You should have a keen eye for detail and accuracy and the ability to work under pressure is essential.
The post holder is required to provide administrative and clerical support for outpatient clinics within Haematology Services, including front line reception duties. Working as part of a team, including clinical staff, they are expected to deliver a responsive and high quality service to patients and other service users. The post holder is required to use their initiative and be adept at problem solving as they will be the first port of call for patient enquiries.
The post holder will also be responsible for the management of appointments, procedure coding/out-coming and real time data recording. They will need to be proficient in the use of all hospital systems including EPR, PiMs and InTouch.
The post holder will be responsible for ensuring patients leave their outpatient appointment with any subsequent follow ups booked and ensure that their pathways are updated in accordance with national RTT rules.

- To manage clinic reception desks in the Haematology Outpatients Department and Supportive Therapy Unit, greeting patient’s in a professional and courteous manner and validating patient’s identification and demographic details.
- Where new or revised information is obtained, update PiMs and medical records appropriately.
- To ensure that clinic outcomes, including attendance, DNAs (Did Not Attend) and their pathway status, are recorded on PIMS in accordance with Trust policies and procedures. Send out non-attendance letters promptly.
- To be responsible for proactive and efficient organisation of the allocated clinic, ensuring that New patients and those requiring follow ups are booked into the most appropriate clinic.
- To manage urgent walk in appointments data on PIMS in a timely manner and in accordance with deadlines set by the clinical team.
- To assist the Outpatient Supervisor with maintaining adequate management of clinics and slot utilisation for the PIMS system.
- To be aware of individual consultant guidelines with regard to overbooking of clinics and ensure these are adhered to in order to minimise the disruption to clinics.
- Greet patients and visitors to the unit in a professional manner and in accordance with department and Trust policy remembering that Haematology outpatients will often be the first contact that patients and relatives have with both Haematology services and the Hospital.
