The Administrator based in Northampton Women’s Centre will be part of the centre team, providing administrative support to the Senior Management Team and Centre Manager. You will be working alongside another administrator in Milton Keynes and will be responsible for ensuring all data is recorded and kept up to date, ensuring a welcoming and safe place for women to attend and providing excellent administrative support to ensure the smooth running of the organisation.
The centre provides a safe space for women to attend and access support services from a multitude of service providers, where professionals co locate alongside our team to provide an excellent and comprehensive support package to the women.
The Administrators Role will involve:
- Publicising the activities of C2C Social Action
- Ensure all accessing the centre sign in and are welcomed
- Taking minutes of management and team meetings
- Creating publicity for activities as and when required
- Ensuring all data from the entry system is recorded and kept up to date
- Ensure all data is recorded accurately
- Collate data from registers from group activities
- Collate all feedback received
- Assist with diary management for the CEO and Senior Managers where necessary
- Set up meetings as and when required
- HR administration - collate all training and supervision records
- Disseminate and collate policies and responses
- Administer the HR system, setting up new staff and confidentially recording absences etc
- Assist with the recruitment process
- Carryout project work in agreement with the line manager
- Assist with the publication and distribution of quarterly newsletters
- Collate case studies to evidence the effectiveness of the work
- On a rota basis meet and greet all who access the centre, including service users and professionals from partnering agencies
- Communicating well with all users of the centre
- Support with the day-day running of the Centre
- Administer and record all petty cash
- Record safe guarding incidents in line with policy
- Attend team and staff meetings and training as and when required
- Have an awareness and understanding of data protection
- Cover and support colleagues in our other women’s centre’s in Kettering and Northampton, as and when required
- Be willing and adaptive to meet the needs of the organisation
**Qualifications**
- To have a relevant qualification to a good standard or be working towards one (ideally to A Level standard or above). Alternatively significant work experience in this area would be desirable
**Knowledge**
- A working knowledge of office administration
- An understanding and knowledge of the barriers faced by people with complex and multiple needs, protected characteristics, disabilities as well as relevant specialist support services - Desirable
- Knowledge of and commitment to safeguarding practices and policies, and ability to promote safeguarding among vulnerable clients and colleagues.
- Knowledge of the criminal justice system - Desirable
- Knowledge of trauma informed practice - Desirable

- Ability to work resiliently under pressure, meet deadlines, work on own initiative and part of a team
- Excellent verbal and written communication skills to ensure effective reporting and customer service
- Ability to be solution focused
- Strong IT skills including proven experience of using Word, Excel, and Outlook in a similar work environment. This includes ability to use online video communication platforms (e.g. Microsoft Teams, Zoom)
- Have an excellent attention to detail
- Effective interpersonal and relationship building skills including ability to develop strong professional working relationships
- Ability to develop and maintain a workplace environment which is both safe, supportive, enabling your colleagues and service users to thrive.
