**EFL Coordinator**

**Location**:Kings London (Beckenham)

**Reports to**:EFL Assistant Director of Studies

**Salary**:£25,500 per annum

**Contract**:1 Year Fixed Term

**Role description**

The EFL Coordinator works closely with the EFL Director of Studies (line manager) to insure the smooth daily running of departmental operational activities and EFL programmes. The EFL coordinator supports Senior Teachers / Exams Coordinator / Lectures Coordinator and E-Resources Coordinator, coordinates, and supervises any administrative cover. The work involves a good deal of student, teacher and agent/sponsor customer service and office management skills. The EFL coordinator will supervise and monitor the administrative work of cover teachers and develop ideas to make existing processes more effective and efficient. He/she will also require judgement and imagination in dealing with individuals and solving problems. This role is invested in the big picture and in explaining processes to teachers and other staff, and in developing and streamlining the efficiency of processes. The EFL Coordinator manages educational visits and teachers who act as visit leaders ensuring compliance.

**Duties and Responsibilities**:
**Front Desk**
- Deal with deliveries to building 2, including post
- Ensure the smooth running of the front desk and reception area
- Maintain and update EFL notice boards
- Order stationery for the EFL department
- Reset passwords for Windows for all EFL students
- Resolve complicated cases report to IT Manager, and feed back to student/s concerned
- Produce a wide range of reports on demand for agents and sponsors
- Write and stamp verification letters for students and teachers
- Authenticate certificate copies

**Student Intake**
- Assist with marking placement tests when needed
- Assist with oral placement interviews
- Class / move students on CLASS and iSAMS databases, when required
- Check any un-classed students on manual classing - liaise with DoS & Registrar
- Create new classes and make old classes inactive on CLASS and iSAMS
- Update room and teacher changes
- Prepare Student Timetables on iSAMS
- Create and put up Wall Lists for B2 and B25
- Check manual classing for second course bookings or students returning from holiday and re-class students for the coming week
- Produce Nationality Reports
- Produce U18s posters for college
- Mark pre-arrival tests of prospective students, as sent by Central Admissions

**Attendance**
- Check all registers are completed at set times, and resolve non-completion with teachers
- Retrospectively check registration by week or month, accounting for anomalies
- Issue Attendance Codes for absent students and recommend authorisation for absences in cases where this is necessary
- Collate and record student attendance figures using iSAMS
- Update the student attendance-tracker spreadsheet
- Analyse effectiveness of processes and develop new streamlined processes to track attendance
- Develop Daily Absence Report template as member of Admin Forum with Oxford & Bournemouth
- Represent the EFL department in monthly student welfare meetings and take minutes
- Represent the EFL department as EVC, Admissions, and as member of Admin Forum - coordinating processes between schools to increase efficiency

**Teacher Administration**
- Maintain and distribute Teacher Registers and distribute Oral Assessment Sheets to teachers
- Review teachers’ Schemes of Work (SoW) and update records on the system
- Collate and distribute benchmarking exams to teachers; process benchmarking test results
- Maintain teaching staff address and phone lists
- Create new teaching staff accounts on iSAMS
- Help DoS in recruitment processes as required
- Train teachers in administrative processes
- Train teachers to cover all aspects of this job
- Update Kings London user guides for ISAMS and Class
- Train other departments on how to use ISAMS or Classmate
- Talk to teachers about compliance issues when necessary while notifying the DoS
- Ensuring reports are completed each week
- Manage cover teachers who help with admin by setting them appropriate tasks without guidance and then check/evaluate their work
- Check/evaluate admin work of all EFL teachers (and provide support training where necessary)
- Monitor completion of benchmarking tests and conversion to Kings Scale and enters scores onto ISAMS Mark books
- Support Senior Teachers / Exams Coordinator / Lectures Coordinator and E-Resources Coordinator

**Student Administration**
- Process and authorise Student holidays listing them on Class and iSams, notifying all relevant departments and/or agents/sponsors.
