Administrative Assistant

**Responsibilities**:
**Administrative Support**:
- Provide high-level administrative support to the COO, including managing calendars, scheduling meetings, and making travel arrangements.
- Handle confidential and sensitive information with discretion and confidentiality.
- Assist with the preparation and distribution of correspondence, reports, and presentations.
- Maintain office supplies inventory and place orders as needed.
- Assist with special projects and other duties as assigned.
**Diary and Inbox Management**:
- Coordinate and schedule meetings, conference calls, and appointments for the COO.
- Ensure the COO is well-prepared for meetings by providing relevant documents, agendas, and background information.
**Meeting Coordination and Documentation**:
- Organize meetings on behalf of the COO, including creating agendas, noting key information, and distributing meeting materials.
- Attend meetings as needed, take accurate minutes, and follow up on action items.
- Track and follow up on action items from meetings to ensure timely completion.
**Customer Service**:
- Serve as a primary point of contact for customer inquiries and requests.
- Provide exceptional customer service by addressing customer concerns promptly and professionally.
- Build and maintain positive relationships with clients to ensure customer satisfaction.
**Data Entry and Record-Keeping**:
- Accurately enter data into various systems and databases.
- Maintain organized and up-to-date records of customer accounts, payments, and correspondence.
- Prepare and update reports as needed.
**General Office Support**:
Assist with office organization and maintenance.
Handle incoming and outgoing mail and packages.
Assist with the coordination of office events and meetings.
**Qualifications and Experience**:
- High school diploma or equivalent; associate's degree or relevant certification preferred.
- Proven experience in administrative support roles, particularly supporting C-level executives.
- Strong organizational and time management skills.
- Excellent communication skills, both verbal and written.
- Proficiency in Microsoft and Google Suites (Word, Excel, Outlook, PowerPoint, Googledrive).
- Ability to handle confidential information with discretion.
- Ability to work independently and collaboratively in a fast-paced environment.
- Attention to detail and accuracy.
**Not essential but nice to haves**
- Previous PA and or EA experience will be looked favorably upon
- Experience in an Operational role.
- Knowledge or experience in Marketing, especially in a 360 services business
- Business degree or similar
