This role encompasses a range of team support tasks, from aiding in proposals to secure new business and renewals, to managing engineer time sheets and handling procurement processes such as raising purchase orders and invoices. Additionally, the role involves coordinating engineers and specialist contractors, including responding to client inquiries via phone and scheduling both regular and emergency service calls. Essential qualifications include strong customer service and communication abilities, along with prior experience in a similar coordination role, preferably within maintenance or facilities management. The position requires office work in the Canning Town area, Monday through Friday.

**Key Responsibilities**:

- Assist in issuing new contracts and renewal documentation as required.
- Organise and maintain both electronic and hard copy documentation.
- Arrange site inductions for the Operations Manager and Engineers.
- Handle invoicing tasks, including verifying subcontractor and supplier invoices against job contracts and purchase orders.
- Manage emergency call-outs, variation works, and annual maintenance charges.
- Ensure timely completion of engineer timesheets, expenses, and job reports.
- Maintain electronic site log books and necessary documentation.
- Coordinate emergency call-outs and communicate with clients regarding engineer arrivals.
- Coordinate engineer schedules to meet client timeframes.
- Assist in parts and spares ordering for sites.
- Update and monitor client assets per contract requirements.
- Cultivate strong relationships with subcontractors and suppliers.
- Arrange for engineer uniforms, van stock, and tools.
- Schedule vehicle service checks.
- Provide reception cover and support other business areas as needed.

**Experience, Qualifications & Personal Attributes**:

- Preferably have experience in a coordination or administrative role within an M&E company or facilities department.
- Proficient in office administration tasks, including typing, MS Word, and strong MS Excel skills.
- Possess a flexible, team-oriented attitude and excellent customer service skills.
- Strong written and verbal communication skills in English, along with a professional phone manner.
- Proactive, organised, and able to work effectively under pressure.
- Committed to maintaining high standards of work.

Pay: From £24,000.00 per year
