Realty Income is looking for a **Team Assistant** to join our European team. Reporting to the Managing Director, Head of Europe, the Team Assistant is responsible for all administrative duties associated with the London office.
The Team Assistant handles highly critical, confidential, and sensitive materials, so they are expected to function professionally and efficiently in all aspects of the position. This position requires managing multiple tasks and projects with competing priorities and deadlines, screening and prioritizing communications and opportunities from internal and external sources, and organizing and maintaining administrative processes.
**What you will work on day to day**:
- Reception / Welcoming guests;
- Manage meeting rooms;
- Coordinate calendars to schedule group internal and external meetings & travel;
- Manage, distribute, and scan incoming correspondence;
- Manage couriers;
- Lead relationship with landlord and general building services;
- Organize and replenish office supplies, copier paper/toner, and kitchen supplies;
- Coordinate with IT and People Success to set up new employees;
- Coordinate logistics for visiting staff from the U.S. office;
- Coordinate arrangements for conferences (travel, accommodation, registration, meals, meetings, etc.);
- Coordinate special celebrations/events, including department activities or lunches, and participate as a member of the company’s Team Building Committee;
- Maintain office supplies and building compliance levels;
In addition, the role will involve becoming the European specialist for invoice management and processing.
- Receive, review, code, and process invoices through the PayScan/Yardi system;
- Lead European invoice processes and become a European specialist accounts payable expert;
- Build and develop relationships with the U.S. accounts payable team and develop processes and drive efficiencies.
