Job Summary The Receptionist will be responsible for providing support to the doctors. This will involve acting as the first point of contact for patients and others visiting the surgery. Organisational Relationships A sound professional working relationship will be required with the GPs and staff working within the Practice. The post also requires liaison with individuals from outside agencies and a good telephone manner is necessary to project the professional image of the Practice.

In General A pleasant disposition and approachable manner are key attributes, together with sound communicative and interpersonal skills. The post requires the ability to exercise tact and discretion, and to use initiative. Good organisational skills are essential, together with the ability to work under pressure and as part of a team. Previous experience as a doctors receptionist, or in the medical environment is preferred, although applicants with reception experience will be considered as training will be given.

The successful applicant will provide flexibility in the range of tasks they are asked to perform. They will be able to prioritise their work and meet deadlines. It is essential that the applicant has good keyboard skills and some knowledge of Windows-based programs. The Receptionist will be prepared to help provide additional cover during holidays and sickness.

All staff are bound by the Practice Code of Confidentiality. Job Responsibilities Main Functions To project the professional image of the practice, in acting as the first point of contact for patients reporting to Reception. To work as part of a team by identifying pressures, sharing the workload and supporting each other.

To receive, transfer and make calls, as required, and to take messages. To open the premises at the start of the day, set the alarm to day function and make the necessary arrangements to receive patients. To ensure that all windows and doors are secure at the end of the day, turn off lights and activate the alarm, and lock the premises. To deal with patient queries sensitively, and to ensure that they are responded to quickly and effectively.

to ensure that patients requiring appointments are appropriately triaged. to explain practice arrangements and formal requirements to new patients and those seeking temporary registration, ensuring that all procedures are completed. To ensure requests for repeat prescriptions are actioned within 48 hours. To extract patient notes, when required, and maintain an accurate filing system.

To collect samples and specimens for lab, ready for collection. To check consulting rooms at the beginning of the day and between sessions to ensure adequate supplies of forms and equipment (restock as necessary). To check the consulting/treatment rooms at end of day, ensuring any vaccines or drug samples are stored in the treatment room fridge and that rooms are left tidy and secure. To change nameplates, as required, for doctors surgeries.

To ensure reception and waiting areas are kept neat and tidy at all times. To be conversant in the use of the clinical software (EMIS Web) to input information, and produce repeat prescriptions and other reports, as necessary. To organise appointments for patients by telephone and letter. To collect private and professional fees as necessary (health insurance reports, medicals, complementary therapy clinics).
