Our well respected client has a vacancy for a Personal Assistant to CEO, Chair and Senior Management Team to provide secretarial and administrative support. This role is offered as fixed term contract till 22nd December 2023, with a blend of remote and office work.

Responsibility
- Carry out a full range of administrative duties for the CEO, SMT, Chair and Board.
- Manage multiple diaries, accommodation and travel arrangements effectively for the CEO, SMT and Board and troubleshoot any problems.
- Organise and arrange meetings, co-ordinate diaries, send out invitations, liaise with participants and minute meetings.
- Board meetings secretariat: The issue of proper notices of meetings, preparation of agenda, circulation of relevant papers and taking minutes to record the business transacted and the decisions taken.
- Provide administrative support for the Company Secretary.
- Provide administration and governance for Board meetings, Board members, annual reports, company secretarial duties and ad hoc minutes for other committees.
- Proactively carry out a range of duties in line with office manager responsibilities ensuring that the day to day operations of the company run smoothly and comply with best practice policies and procedures.
- Provide support to staff on the SharePoint online file system. Make changes to the system where required.
- Regularly review customer service standards and compliance.
- Provide administrative support including logging in organisation’s post.
- Primary contact with Board members, maintain Board member records, including contracts, financial and performance records. Support Board recruitment and training.
- Maintain committee member, panellists and trustee files, including contracts, financial records and performance records.
- Liaise with hotels to secure corporate rate.
- Retain absence records for the organisation, updating where necessary and forward to HR manager.
- Carry out all necessary filing, general administrative work and maintain files, as required.
- Build relationships with CEO, SMT and Board key contacts, acting as ambassador for CEO, SMT and Board at all times and liaise with Group PAs.
- Comply with the principles of GDPR and IGR

**Requirements**:
Good interpersonal skills with the ability to develop and maintain effective professional internal and external relationships.
- Excellent time management skills with the ability to take responsibility for own workload, prioritisation and meeting tight deadlines.
- Formal committee/Board secretariat skills - excellent minuting, meeting and papers administration
- Sound administrative skills with a high level of expertise in Microsoft Word, Outlook, Excel and Office 365.
- Good standard of education, including Maths and English GCSE grade A-C or equivalent.
- Ability to draft straightforward correspondence.
- Ability to demonstrate professional approach to handling confidential or sensitive information, exercising discretion.
- Ability to demonstrate a self-motivated and proactive approach.
- Excellent attention to detail.
- Experience of working in a professional environment

**Job Types**: Full-time, Fixed term contract
Contract length: 7 months

**Salary**: £34,500.00 per year
