Project Administrator

We have an exciting opportunity for a part time administrator to work with our Procare Health Ltd team providing administrative support to Guildford and Waverley Primary Care Networks and support in delivering our projects and services. You will need to work autonomously to ensure that daily tasks and on-going workloads are prioritised and completed in agreed time frames to ensure the most effective support of Procare Health Ltd.
The post holder will be flexible working with home based and Head Office working 16:00 - 20:00 Monday to Friday providing administrative support to our clinicians/managers with Procare Health Ltd services and projects. You need to be self-motivated and able to work autonomously.

Are you able to oversee data collection and collation of information including patient and stakeholder audits? Do you have experience in maintaining logs and records? Are you confident in organising meetings? Are you confident in EMIS or willing to learn?
The post holder will work under the direction of the Operations Manager and will have access to undertake the training and education as relevant and as required of the role.
**Key responsibilities**
**Communication**
- Excellent communication skills-both written and verbal.
- Able to communicate and liaise effectively with colleagues at all levels within the company.
- To act as the first point of contact for enquiries from clients and external stakeholders, concerning Enhanced Access and all Procare Health projects, ensuring appropriate sensitivity and confidentiality to all Procare related business matters.
- Ensures that telephone calls from clients and external stakeholders are managed in a polite, professional, courteous and timely manner, ensuring that patient/client confidentiality is always maintained.
- Ensures enquiries requiring prompt action are prioritised and that communications are responded to appropriately and in time.
- Ensures all patient and company sensitive information is always treated in line with information governance requirements.
- Takes concise and accurate minutes, producing minutes/notes in a timely manner, preparing action plans and following up on action points, where appropriate.
- All employees should communicate effectively in their day to day practice with patients/clients/stakeholders and colleagues and should support and enable patients/carers to make choices, changes and influence the way their treatment or care is provided, promoting effective patient, carer and public involvement at all times.
**Management and Leadership**
- Supports the company IT systems, including maintenance and improvement of central office IT processes.
- Ensures optimal use of MS Office including Word, Excel, PowerPoint etc.
- To provide support to managers/clinicians in the maintenance of a data bases aligned to specific service area e.g., Projects.
- Completes admin activities efficiently, mindful of effective use of resources.
- Works collaboratively with team members to identify suggestions for change, office and processes improvements, development of more efficient and effective ways of working.
- Actively supports and contributes to the growth and success of the company.
- Involvement in Procare projects and service developments.
- Ensure adequate stocks of stationery, supplies and forms are maintained and used cost effectively within the department, liaising as appropriate with the appropriate Manager.
- Implement and manage EMIS for Enhanced Access service; information sharing in EMIS between primary and community services; work with others on development and sharing of templates.
- Encourages others and ensures own use of the companies document sharing platform including document management processes for ensuring up to date and accessible information - current preferred solution is GP TeamNet.
**Quality, Safety, Experience**
- Monitor the Enhanced Access appointment booking system and effectively registers patients on EMIS for Enhanced Access appointment booking.
- Ensures use of laptops in line with data protection act and information governance requirements at times of business continuity.
- Delivers a client-focused service which promotes good customer service and effective working relationships for patients, public, stakeholders and colleagues.
