The Validation clerk is responsible for ensuring that the timeline data for patients is accurate and appropriately reflects the patients’ current
position on the pathway. This role requires regular contact with colleagues across the Trust from all areas and supports excellent clinical
service to the patients. The Gastroenterology team requires 2 validators and who work with the Information Manager to deliver accurate data quality. The role of an RTT validator is to proactively monitor and track 18 week pathways to ensure the patient journeys are accurate and in line with national and local defined targets. This includes identifying and addressing potential breaches and escalating to the relevant teams working alongside all directorates and Service managers.

Maintain and improve working knowledge of our Patient Administration System (Currently IPM) in relation to electronic Trust data collection procedures. Maintain and improve knowledge of hospital processes and patient journeys through the Trust.

Improve accuracy of data held on IPM within trained knowledge and competency. Maintain and improve working knowledge of other key systems such as ICE, PENS and EPRO.

Communicate with internal and external individuals in a secure manner to ensure information is of the highest quality in accordance with Trust policies. Undertake any training activity to ensure Trust policies and procedures are understood, and to develop any new knowledge within the role.

Respect colleagues differences with equality and diversity to ensure rights are not infringed. Minimise risk in the use of sensitive information to ensure that the Data Protection Act 1998 is adhered to. All staff should be encouraged to make suggestions to improve the service, and to
promote a ‘no blame’ culture.

Carry out work as allocated by the Department Supervisor/Manager. Seek assistance if unsure of any procedure or policy. Cover sickness and holidays for other team members at the discretion of the supervisor.

To validate patient treatment pathways using hospital systems such as IPM, ICE, LIGHT, PENS and EPRO to identify treatment
stages that represent “clock starts” and “clock stops” according to the 18 week guidance and Trust Access Policy.
Request, trace and track patient records to analyse information in order to validate pathways effectively.
An understanding of excel to be able to interpret reports to identify themes and patient data.
To have a knowledge of treatment status codes and outcome recording for analysing and interpreting data on the Hospital Systems To provide administrative support to Operational Service Managers.
To identify solutions to ongoing problems and to be proactive in testing and implementing solutions.
Ensure accurate input and maintenance of confidential patient data onto relevant Trust IT systems.
To have a practical knowledge and understanding of the Access Policy.
Provide cover for colleagues during periods of planned annual leave and sickness as required.
To ensure Trust patient access policy is followed and uphold the trust values of “caring for you as if you are one of our family”
