You’ll be part of the administrative team who support our palliative care consultant teams at Sobell House and Katharine House, based at Sobell.

You’ll be a good team player, who’s highly organised and possess good interpersonal and communication skills that allow you to handle calls in a professional, sensitive way.

You’ll demonstrate an excellent range of proactive administrative skills, with the ability to multi -task and meet deadlines. You must have experience of working as a PA and/or medical secretary at a senior level as well as being proficient in the use of Microsoft Office software packages. You’ll have experience in taking minutes or be willing to develop your minute taking skills as full training will be given.

Patient administration underpins the patient journey and supports clinical teams in delivering high quality patient care and can make a real difference to the patient experience. Effective, proactive and efficient patient administration supports management through ensuring a high standard of data quality and by making the best use of capacity and resources.

The post holder has responsibility for co-ordinating a professional, comprehensive, proactive and efficient administrative service, which is effectively delivered to all patients and members of the department. This will be through the delivery of a comprehensive administrative service to a specialty team.

To be the first point of contact on all administrative issues, and to provide efficient and comprehensive support to the HPCT, Hospital, Community and RIPEL Palliative Care management team.

To facilitate communication and systems between the HPCT, CPCT and RIPEL palliative care teams, other teams within palliative care and the Trust.

The Trust comprises four hospitals - the John Radcliffe Hospital, Churchill Hospital and Nuffield Orthopaedic Centre in Headington and the Horton General Hospital in Banbury.

1. To co-ordinate and be responsible for the provision of full Personal Assistant, secretarial and administrative services to designated managers/nurses. To work effectively with PA colleagues to provide a seamless, integrated and efficient PA service to the HPCT, CPCT and RIPEL management and nursing teams.

1. Implement policies and procedures to maintain proactive, efficient department/office and online filing systems to facilitate the smooth running of the administrative services.

1. Manage their defined areas within the speciality and be responsible for prioritising work, reviewing working practices to ensure the effective running of the department and effective communication structures are implemented.

1. To ensure that joint working and close co-operation is developed and maintained with staff both internal and external, providing the clinical/operational services in order to maintain a complete and seamless service to patients.

1. Deal with complex enquires from staff/patients/relatives/visitors investigating and researching matters thereby providing information/guidance and advice to others to ensure their queries have been dealt with.

1. Organising calls, virtual meetings &/or room bookings where necessary, and organising refreshments if required.

1. To organise meetings, including co-ordinating dates, booking venues, sending out agenda and supporting papers, arranging equipment and refreshments where required.

1. Responsible for co-ordinating meetings. Help prepare draft agendas for meetings. Participating in meetings to take minutes, share screen material and record virtual meetings. Circulating minutes and tracking to ensure actions are completed.
