The Fundraising Assistant will play a crucial role in the smooth running of the Fundraising department at The Barn Theatre.

They will deliver departmental administration and support the Head of Fundraising and the Fundraising Relationship Manager. This role is designed to give the post holders an introduction to arts fundraising as part of a small ambitious team.

**Key Responsibilities and Duties**

**Patron Scheme**
- Assisting the Relationship Manager with the Barn Theatre’s Patron Scheme, helping to build relationships with donors, thanking them for their gifts and renewing their donations.
- Managing the administration of the scheme through the database (Spektrix).
- Managing meeting diaries of the Head of Fundraising and Relationship Manager to facilitate donor meetings.

**Trust Applications**
- Support in the administration and reporting on any large grants from major Trust and Statutory Funders secured by the Head of Fundraising.

**Financial Processing and database management**
- Manage the day-to-day processes of the database (Spektrix), ensuring all donations, donor records and activities are accurately recorded and up to date, liaising regularly with Finance to reconcile donations received.
- Undertake accurate and effective data processes, including the recording and prompt thanking of donors for their gifts.

**Events**
- Assist the Relationship Manager and Head of Fundraising with the organisation and delivery of Fundraising events, helping with event administration.
- Assist the Relationship Manager in coordinating and recording invitation correspondence for fundraising events and attending events where necessary.
- Create briefing notes for Fundraising and Executive team members when appropriate.

**Research**
- Conduct prospect research about individuals, trusts and foundations and companies, working with the Relationship Manager and Head of Fundraising to inform fundraising activity.
- Utilise the reporting tools of Spektrix to help find new potential donors for The Barn Theatre.

**Departmental administration**
- Ensure all filing is compliantly processed and managed, as per GDPR and data retention rules. This includes regular data cleansing across all data storage (Spektrix database, Microsoft Teams, Sharepoint and any relevant hardcopy data).
- Ensure filing systems are tidy, accurate and up to date, suggesting improvements where appropriate.
- Work with the Relationship Manager and Marketing Team to appropriately recognise donors on our website, in relevant print and materials and on donor thank you panels.

Carry out other duties as may be commensurate with the overall purpose of The Barn Theatre.

- Excellent interpersonal skills, friendly and approachable.
- Excellent organisation, administrative and time management skills, with keen attention to detail and accuracy.
- Excellent written and spoken communication skills.
- A calm and positive approach with the ability to multi-task and to manage multiple priorities.
- Ability to work collaboratively internally and externally.
- Computer literate with a strong working knowledge of Microsoft Office

**Further details**
- Full time at The Barn Theatre, although there is a degree of flexibility in the hours worked.
