**Job description**

**Priory Gardens Surgery** is looking for a part-time or full-time experienced Receptionist/Administrator to join our busy Practice with over 175000 patients. You will be supported by a team of 14 fellow receptionists/administrative assistants.

You will be required to work shifts between 8am - 6.30pm Monday to Friday and Wednesday or Saturday additional shift on a rota basis.

Previous NHS experience and SystmOne or relevant experience is essential for this role.
- Call handling with the same level of service expected from within the practices.
- Run audits on demand utilising call software, regular audits of call waiting times, dropped calls etc. Audits: this is using the phone system to see how many calls have been received.
- Focus on reduced waiting times for calls to be answered.
- Booking appointments with regular audit to ensure appointment made with the right person
- Care navigation function.
- Maintain an efficient appointment system by offering new and follow up appointments according to the capacity of the Doctors and other clinical staff.
- Record requests for home visits.
- Respond to incoming calls in a courteous and efficient manner.
- Record all messages accurately at the time they are taken.
- File and extract patient records as required.
- Respond to general enquiries and explain Surgery procedures to enquirers.
- Ensure that the reception area is always organised and tidy.
- Ensure all on site leaflets are in date and relevant.
- Recode incoming letters from third parties on to patient’s file.
- Deal with new patient registrations and new patient checks.
- Organise and direct any external companies for maintenance and repairs.
- Monitor daily E-Consult and respond to all patient queries.
- Book in walk in patients for appointments.
- To open all incoming post and date stamp with distribution to the most appropriate area.
- To ensure Practice Reception and waiting areas are kept clean and tidy throughout the day.
- To receive, check and sign for incoming deliveries of equipment, stationery, and vaccines, etc
- ensuring they are stored away and recorded as appropriate.
- To receive and deal with specimens from patients promptly, checking details and storing them in the fridge ready for collection by the courier.
- To take responsibility for Track and Trace for incoming staff, visitors, and visitors in line with
- current Pandemic Guidelines
- To take responsibility for ensuring visitors to the practice sites in line with the primary care policy and procedure on ‘visitors to site’
- Referrals to social prescribers
- Complete Welfare checks & Carers Champions

Personal Specification:
Experience

Essential Experience of dealing with the public. Understanding of confidentiality and disclosing information Knowledge and use of Microsoft work Ability to work under pressure, working with databases.

Desirable Experience of working in a GP practice Knowledge of patient administration systems worked as a receptionist/administrator. Qualifications GCSE grades in English & Maths Qualified to NVQ level 2 / 3.
