We are looking for a Roster Administrator to join our team at Cygnet.
Cygnet was established in 1988. Since then we have developed a wide range of health and social care services for young people and adults with mental health needs, acquired brain injuries, eating disorders, autism and learning disabilities within the UK.
The e-Roster Support Officer will be home based but will be required to regularly travel to sites in the East of England (e.g. Cygnet Hospital Colchester, Cygnet Fairways, & Cygnet Stevenage).
This position will form part of an e-Rostering Project & BAU Team, who are responsible for the implementation and maintenance of an e-Rostering solution called Allocate Optima (F.K.A Healthroster), which is currently being introduced in the Cygnet portfolio.
The e-Roster Support Officer is a key role in this e-Rostering Team and is responsible for front-line training, support and assistance in the implementation and maintenance of the e-Roster system across multiple Cygnet facilities within the East of England.
Objectives of this role during the implementation & BAU include:
- Ensure correct data is gathered & cleansed for the roster builds & system configuration,
- Ensure all staff are sufficiently trained & supported through the transition from old to new practices, and into BAU
- Ensure the accuracy of data and effective utilization of the system in line with the agreed budgeted establishments.
- Be a champion of the Allocate Optima solution & the e-Rostering project, ensuring stakeholders in your remit are sufficiently engaged.
**Job Summary**
The e-Roster Support Officer will be the first line of support for Cygnet facilities in the East of England utilizing the Allocate Optima e-Rostering solution. Thus, the position will undertake appropriate training so as to have a good working knowledge of Allocate Optima, and will be responsible for the following:
- Supporting roster creators (e.g. Ward/Service Managers) with appropriate daily & weekly administrative duties,
- Provide first line support to system end users (staff) which will include resolving queries and basics teaching,
- Manage the local roster teams inbox(s) and other administrative functions to support the team,
- Assist the e-Roster System Manager(s) generally with the day to day running of the new Allocate Optima e-Roster systems and processes
- Maintain operational staffing functions associated with Allocate Optima e-Roster and all associated systems and processes
- Plan and deliver training to local end users
- Maintenance of the staffing within each roster, i.e. starters, leavers, contract changes, etc.
- Maintenance of unit information, i.e. budget, WTE, shifts and demand, etc.
- Provide ad hoc first line support and guidance to local end users
- To liaise with the HR Staff Records Administrator and/or Finance Lead in relation to matters affecting staffing numbers and the funded establishment
- To be responsible for providing “Loop” app and Employee Online accounts, communicating usernames and passwords to users and resolving access issues
Overall, the e-Roster Support Officer plays a vital role in ensuring the accuracy and effectiveness of the Allocate Optima system, contributing to the efficient allocation of staff and the delivery of quality Health Care & Social Care services in Cygnet.

Proficiency in Microsoft Word, Excel, and Outlook is essential for performing tasks such as generating reports and managing correspondence.
