In your new role as the Customer Experience Specialist your duties are:
To act as the first point of contact for Thales employees in all buildings at Templecombe, ensuring a professional, efficient and customer focussed environment is maintained at all times

Support all area's of Front of House as and when required; to include, Reception, Meeting Room & Floor Management, Hosting visitors, Escorting duties and hospitality / refreshment requests.

Liaise with the FM and Thales Key Stakeholders on a daily basis to ensure visit requirements are communicated and pre-meeting information is able to be issued in advance of visitors attending site.

Ensure meeting room set up, presentation equipment and presentation content is available for meetings as required using the FM and Thales I.T teams to support.

Organise, prepare and communicate details regarding key meetings & special events to Mitie FM & Key Stakeholders.

Engage with the team to identify specific meeting requirements including refreshments and engage with Gather & Gather catering Manager on site as required

Ensure sign-in and out processes are followed and the correct visitor passes have been issued by the Security team.

Work closely with the security team in the Gatehouse to deliver a 5* Customer Experience for all visitors to site

Provide exceptional customer service, assistance and guidance to all visitors to ensure each guest has a great experience during their visit.

Ensure feedback from visits is collated and acted upon as necessary.

Work closely with the onsite Mitie office providing administration support.

Assist the onsite operations by hosting contractors when requested

Job Overview

Perform reception, administration, organisational and secretarial duties efficiently and effectively on behalf of the building in which you are located.Help facilitate the through flow of personnel by managing access via the building entrance.Maintain a tidy and efficient reception area, providing a prompt a courteous reception for visitors, telephone callers and other staff.Maintenance of fob access system and fire list.Handling phone calls and distributing/taking messages as appropriate.Sorting incoming mail and distributing accordingly.Sorting, packaging and franking outgoing mail including special/recorded delivery and couriers.Ensure franking machine is working and in credit.Cash handling (car parking and Christmas collection).Distribution of weekly notices (H&S, announcements etc.), including maintenance of notice boards.Ensure all marketing literature in reception is kept current.Organising and monitoring allocation of car parking spaces for staff and visitors.Maintaining stock levels of stationery and ordering supplies as appropriate.Ordering of timesheets and WRS pads.Ordering branded stationery (business cards etc.) and branded goods (pens etc.).Ordering uniforms and PPE.Maintaining stock levels of tea, coffee, sugar etc. as appropriate.Manage vending machine contractors.Coordinate and correspond with office cleaners.Equipment calibration and record keeping.Assisting QHSE, HR and the legal team where required.Training records.Audit input.Waste recording.Assist with operational reports.
