**Assistant to the Director Job Profile & Description**

As one of the 4 Directors of a family business, I am looking to take on an Assistant to support me with back-office operations. This role will require the individual to work on a variety of tasks which cover finance, operations, and general administration.

**Working Location**

This role will be 100% remote however I would like someone who is located in / around the Windsor, Berkshire area to facilitate in-person training and catchup meetings.

**Essential Duties and Responsibilities**
- You will report directly to one of the Directors.
- Excellent verbal and written communication skills, including the ability to effectively communicate with colleagues and clients.
- Computer proficiency (MS Office - Word, Excel, Powerpoint, Outlook)
- Must be able to work under pressure and meet deadlines, whilst maintaining a positive attitude and providing exemplary customer service.
- Ability to work independently and carry out projects from initiation to completion within the parameters of instructions given.

**Education and/or Work Experience Requirements**
- You will report directly to one of the Directors.
- Excellent verbal and written communication skills
- Knowledge of back-office management systems and procedures
- MS Office and English proficiency
- Outstanding organisational and time management skills
- Ability to multitask and prioritise workload

**Desirable Attributes**
- Proven previous experience of working on accounting software/CRM (ideally Zoho).

**Typical Tasks**:

- **Accounts**:

- Chase debtors as instructed by the debtors, updating our finance system with the status of any debt.
- Polite but firm, correspondence, telephone calls and discussion, with debtors regarding unpaid invoices
- Consideration of and initiating recommending legal action to the Directors where necessary to obtain debt payment.
- Produced a monthly and mid monthly summary of aged debtors and statistics for review by management.
- Producing Month Profit Analysis Report.
- **Managing the CRM**:

- Uploading details of prospective clients
- Updating the CRM to reflect the status of prospective clients.
- Producing Letter of Intent for Clients.
- Producing and sending out service agreements to Clients.
- **Days Management System**:

- Updating calendars with consultant’s appointments
- Liaising with Consultants when days have been over booked on projects.
- Reconciling internal records of consultant appointments following receipt of sub-contractor invoices.
- Following up consultants when projects have not been closed correctly.
- **IT**:

- Managing internal projects associated with our websites and IT systems (please note this role does not require technical knowledge but project management skills)

**Job Type**: Part-time, Permanent

**Part-time hours: Tuesdays, Wednesdays and Thursdays**

**Salary**: £360.00 per week
