The YoutherapY team (part of Options4cyp) is continuing to expand, and we now have an exciting opportunity for an Administrator to become part our team. You will be joining a well-established team with direct contact with young people aged 11-25 who have psychological and emotional difficulties.

Playing a key role in providing a range of administration support to the YoutherapY Team. An essential part of this role is the ability to manage and prioritise your own workload without direct supervision, including diary management, dealing with telephone calls/enquiries.

The post holder will occasionally be expected to undertake work out of core hours and to fulfil any other duties that may be required. It will be essential for the post holder to work Wednesdays, and some evening and weekend cover maybe essential as well as being prepared to work flexibly at all times, covering other essential admin duties.

YoutherapY is a long-established team with a range of professionals and dedicated admin staff. We have an ethos of person-centred service for
our clients as well as good self-care being encouraged within the team. This also extends to each other as colleagues, leading to a strong and
motivated team.

To provide a comprehensive secretarial, administrative and information service to the YoutherapY team, in respect of managing of appointments, dealing with correspondence, composing routine and non-routine letters as required and other documentation related to the service and taking personal responsibility for confidential issues.

To follow clinical instructions with regard to clinicians’ assessments, consultations/ interventions with patients for inclusion in clinical records using agreed templates within requested time-frames. To accurately audio/copy type the same if required.

To be responsible for arranging, convening and the administration of meetings including booking rooms, drafting agendas, collation of papers for distribution, ensuring availability of reports, taking and preparation of action notes and minutes.

To forward actions from meetings relating to service delivery to appropriate team members.

To establish and maintain effective office systems, including the maintenance of referral, filing and archiving systems and other related documents that would be required for internal and external review, including data collection with the use of Excel spreadsheets.

To maintain and update clinical and non-clinical electronic systems.

To provide information to clinicians and/or managers about actions from meetings, due dates, review dates for policies, procedures and protocols as appropriate.

To maintain confidentiality of patient information, ensuring all audio/copy typed patient records are correctly stored, and telephone conversations are not overheard by the public.

To liaise with clinicians when receiving queries from families, healthcare, social care professionals and other agencies.

To input service and patent information onto the appropriate clinical systems ensuring data quality is maintained, prioritising information effectively to ensure patient confidentiality is not breached.

To collate and co-ordinate information to and from patients (in the form of patient leaflets and questionnaires) as appropriate.

To determine information requirements with clinicians/managers, collect required data and information and produce reports in different formats. This will include formulating spreadsheets, collating and presenting information in tabular and graphical format

To be responsible for using own initiative to prioritise, plan, action and complete own day to day work in line with local and national access and waiting targets.

To support the local induction of new administrative team members, including one to one training on software packages and office procedures.

To receive telephone calls from parents, GPs, Schools, Health and Social Care agencies and others.
