St. Hilda’s is Shoreditch charity with a 130-year history of supporting the local community. The core of the charity is a community centre with a hall, offices and social spaces which are used by the charity’s many projects and are let out to the public. We also let out office space and self-contained units to tenants in the charities, educational and creative sectors.
About the Role
The Maintenance / Facilities Coordinator supports the Head of Operations in the day-to-day running of the St Hilda’s East Community Centre. This includes the management of the premises so as to provide a healthy, safe and clean environment for all stakeholders (staff, volunteers, tenants, users and visitors) as well as ensuring that the building complies with national safety standards. The Maintenance / Facilities Coordinator supports and works closely with management and project teams, monitoring and coordinating repairs, IT, room set up and cleaning requirements to provide a high standard of maintenance and cleanliness.

**Reporting To**: Head of Operations, Senior Leadership Team

**Workplace**: St. Hilda’s East, 18 Club Row, London, E2 7EY

**Salary**: £25,000 P.A.

**Hours**: 35 hours per week, based on 10am-6pm working day with a one hour unpaid break. Some flexibility will be required to cover events in the evenings or at weekends, for which time off in lieu will be given.
Tasks/Responsibilities
- Monitors and coordinates daily maintenance/cleaning work; carries out regular site inspections, obtains quotes for third party maintenance works and schedules work as necessary
- Liaises with and coordinates third party contractors where necessary including, but not limited to Cleaners, Air Conditioning, Plumbing, Electrical, Pest Control etc. and completes all necessary paperwork accurately
- Sets up / breaks down event spaces and conducts or oversees office moves; facilitates moving and installation of furniture according to staff and client needs
- Ensures that rooms are correctly set up for event bookings; is present at events as necessary to support clients, acting as point of contact
- Assists the Head of Operations to deliver IT support to staff and volunteers: sets up computer equipment, supports users and provides 1st level IT/network support. Contacts support contractors if necessary
- Assists the Head of Operations in carrying out health, safety and environmental audits, COSHH assessments, risk assessments, and ingress & egress assessments
- Conducts routine, periodic, or special inspections to determine repair and maintenance work necessary to prevent breakdowns of facilities, machinery, and equipment
- Tracks and coordinates scheduled facilities inspections/services including Health & Safety, alarm tests, PAT testing, waste disposal. Maintains records for auditing/management purposes on Sharepoint system
- Conducts Risk Assessments and staff safety inductions as well as maintaining complete records of these duties for audit purposes
- Ensures all common parts are clear of potential hazards
- Prepares, coordinates and undertakes building deliveries & collections
- Manages equipment inventories and carries out periodic stock-takes
- Acts as a Fire Marshall and First Aider (training will be provided)
- Acts as keyholder for the premises

Essential skills/attributes
- Two years’ experience in facilities coordination or maintenance
- Ability to carry out maintenance and minor repair work
- Ability to lift and move boxes and furniture (eg. chairs and tables)
- Strong written and verbal communication skills
- Ability to effectively coordinate with team members
- Ability to understand colleague and client needs/priorities, and to solve problems
- Ability to prioritise tasks in an organised manner
- Proficient in Microsoft Office, Windows and other IT programs
- Willing to undertake further training as required (eg. Fire Marshal, First Aid, H&S)

Desirable Skills and Abilities
- Knowledge of building management skills/trades e.g. materials, fittings, IT
- Educated to GCSE level or higher
- As a community centre, preference will be given to applicants from the local community
