Job description
As our Executive Assistant - Operations and Governance, you will deliver support to the Senior Management Team and Trustees. You will work with a wide range of our stakeholders, both internally and externally, taking a professional yet friendly approach. You will have excellent organisational skills and be able to demonstrate meticulous attention to detail, excellent written skills and will be highly efficient.

We are the UK’s leading charity funding medical research projects around the world which develop ground-breaking treatments for paralysis. We are looking for a creative and enthusiastic Executive Assistant to join our mission to transform the lives of those paralysed with a spinal cord injury. You will be joining a small, close-knit team and that supports each other at busy periods with flexibility and good humour.
**Job description**
This is a responsible position which will offer great job satisfaction to someone with a conscientious and proactive approach. The role will involve:
- Managing communications and correspondence with the Chair and Trustees
- Organising meetings and sending out invitations and virtual log-ins
- Liaising with the Executive Team regarding preparation for meetings and any follow up
- Taking accurate and professional minutes of Board meetings
- Collating, uploading and sending out minutes, reports and other papers for Board meetings
- Organising the Annual General Meeting and any other General Meetings and events
- Organising schedule for drafting of Annual Report
- Submissions to Charity Commission
- Being point of contact for:
- Office landlords and storage facility
- IT suppliers
- Risk assessment
- Insurance
- Taking ownership of Health & Safety procedures and policies
- HR admin, including tracking annual leave allowances, annual training requirements, updating office manual
**About you**
You will have significant prior experience gained in a responsible secretarial or administrative role. You will be proactive, professional, and able to maintain confidentiality. You will be well-organised, able to prioritise work and to achieve deadlines.
You must have good communication skills with the ability to liaise effectively and coordinate the work of others. You must be helpful and responsive to requests for assistance from the SMT, Chair and Trustees. You will be willing to work flexibly in accordance with the needs of the organisation.
