**Position Summary**:
Are you the new friendly face of our site? We are looking for a service-minded Receptionist with who can keep calm and organised in a varied workday. As part of a small friendly team, our new Receptionist will manage our site reception and support customers and colleagues with their enquiries and needs. Our priority is customer experience through the approachable and professional resolution of requests and ensuring a clean and well-functioning reception area. Full training will be given on the job. This is the second of two open positions; the other has now been filled.

**Responsibilities**:

- Greeting visitors, signing in guests, issuing visitor badges, and maintaining security protocols. Welcoming and directing to the appropriate person or department
- Assisting with events including advertisement and posters
- Order and maintain office supplies, as well as managing inventory to ensure the office is adequately stocked. Keep the reception area tidy and presentable, ensuring a welcoming atmosphere
- Dealing with invoicing and payment processing tasks, including tracking, and following up on overdue payments
- Assist customers with enquiries, providing information, and addressing their needs or concerns in a friendly and helpful manner
- Arrange and coordinate meeting room bookings, preparing materials, and sending out booking confirmations
- Organising and arranging lunches for customers, including taxis and hotels as needed
- Various administration and ad hoc support tasks, including providing administrative support to the Facilities Manager
- Maintaining confidentiality of sensitive information and respecting privacy regulations and adhering to GDPR

**Skills**:

- Strong Microsoft Office skills
- Minimum 3 years' experience in a similar or customer facing role
- Well presented and approachable
- Abilities in delivering exceptional customer service
- Ability to keep calm under pressure
- Self-motivated and driven with excellent personal and team working skills
- Multitasking and time-management skills, with the ability to prioritise tasks
- Flexible to adjust to changing priorities
- Possess strong written and verbal communication skills to interact with colleagues, customers, and visitors effectively
- Previous facilities or Health & Safety experience desirable but not essential
