**OVERVIEW**:
The post holder is professionally qualified and experienced to undertake a range of Mail Services’ processes, as well as some digital processes. These range from processing inbound mail, digitisation/scanning, outbound mail (franking), print processes, as directed, to ensure prompt onward dispatch/delivery.
**PRIMARY RESPONSIBILITIES**:
- To processing all sundry items, such as cash, cheques, postal orders (in open mail), sensitive and confidential documentation and reports in the appropriate manner.
- To fully operate and maintain all production equipment, including quality checks and assurances, calibration, jam clearance, and minor levels repairs, monitoring and recording data, stock control, providing information for third parties.
- To be part of an effective and efficient Service by maintaining quality of work and performance to standards of production set by the Service.
- To collect and delivery post over the estate using a vehicle provided.
**DAY TO DAY ACCOUNTABILITIES**:
- Process all incoming internal\external mail to ensure prompt onward dispatch and delivery including operational methods to collect, open, record, categorize, scan and sort all aspects of mail, print, sundry items and documentation for Royal Mail and other stakeholders as directed.
- Carry out the safe and efficient operation of all processing equipment and maintain these items in a clean and workable condition, informing the Team Leader and/or Manager of any breakdowns or repairs required that exceed the post or training.
- Demonstrate accuracy in processing and distributing large volumes of work within laid down deadlines and set standards of performance.
- Ensure accurate sorting and bundling of all post to meet the requirements of the Royal Mail and other contractor’s conditions including the following:
- identifying and sorting items from other mail
- identifying correct post codes
- classifying post according to weight, size and postage bands
- ensure correct bundling, labeling, bagging and dispatching of all items
- To be responsible for any transport system which may be assigned to the post holder in order to carry out the duties of the post and to make daily checks to ensure that transport is fit to use including any health and safety, security, and road worthiness. Maintain transport in a clean condition (inside and outside) and to use the transport in a responsible manner in accordance with the law, the Highway Code and any policy and regulations, fully comply with the requirements of the Health & Safety at Work Act.
- Monitor throughput on processes and make any necessary adjustments to achieve consistent results, timescales and targets set by print and manager, team leader or stakeholder; undertakes technical quality control and quality assurance checks on a regular basis and supports other colleagues to resolve technical and quality issues to ensure that the quality and output of work is in line with standards of production set by the Service. Liaise with the Supervisor or Manager to resolve any problems relating to the progress of work.
- Daily, within a broad work programme, determined by the Team Leader, or Manager, exercising initiative in time tabling this work in order to achieve the business needs, and to operate flexibly, in response to demands from numerous sources which can frequently mean rearranging and interrupting existing assignments, to cope with new and pressing requirements to achieve clients’ needs and requirements.
- Carry out day to day operator maintenance and minor repair of machinery in accordance with manufacturer’s instructions and training, to ensure the efficient and cost effective running of the machines and to liaise with the manufacturer engineer, as and when required, to optimise the running time of the operating equipment.
- Enter any data by the appropriate method for auditing and charging purposes.
- Assist in maintaining adequate supplies and stock control of all items required for the post, maintenance of record of activities, returns and statistics, to meet the business objectives.
- Ensure that all deadlines are met as specified by the customer and to ensure key account deadlines are adhered to and achieved.
- Carry out general support duties as required for the post.

**SKILLS/QUALIFICATIONS**:
- Operational experience in a service/commercial environment with related experience in print and mail processes.
- Proven computer skills and ability to input and interpret data as required.
- Experience of operating and maintaining post and print equipment.
- Proven experience and demonstrable skills in customer care in a highly sensitive and customer orientated service.
