Cancer Patient Pathway Administrator

The Cancer Patient Pathway Administrator will play a crucial role in the proactive management of patients referred onto the cancer pathway. The post holder will work within Nuclear Medicine (including PET/CT) service and collaboratively with other internal and external stakeholders to ensure patients receive comprehensive and timely investigation of a suspected cancer. They will be expected to proactively break down any barriers to access and provide a key point of contact for patients. The post holder will work with the wider MDT to develop processes conducive to meeting timed milestones.
The post holder will also provide reception support to the current administration and clerical team when required.

Proactively monitor patients’ progress along their pathway on a daily basis, highlighting problems to the management team and escalating where necessary according to local protocols.
Build and maintain effective working relationships with the internal and external stakeholders in pursuit of delivery of care within defined cancer wait time targets.
To maintain cancer referrals with the use of NUH systems and supporting any external systems.
Liaise with the relevant colleagues to escalate patients in need of imaging.
To regularly review all 2 week wait patients within nuclear medicine (including PET/CT) and identify delays in managing patients.
Co-ordinate the allocation of PET/CT reporting to ensure timely turn around times.
Facilitate and coordinate patient workload meetings and ensure that actions arising are completed.
Actively identify situations where dates of diagnostic tests and treatment may not be scheduled appropriately, exercising own judgement and be responsible for ensuring appointments/procedures are expedited as necessary with guidance from line manager.
Work closely with the administrative services across sites (including booking team), diagnostic services and clinical teams to ensure next actions are regularly updated and completed.
The post holder will retrieve information via Trust systems (e.g. Careflow, Infoflex, CRIS, Notis).
Develop and maintain knowledge of the cancer pathway provision across Nuclear Medicine (including PET/CT) and have detailed understanding of steps within patient pathway and the associated flows of information.
Actively participate in local and regional PTL meetings.
To act as a centralised point of contact for patients, receiving, triaging, and responding to face to face. Telephone and written queries, liaising and escalating to clinical team/operational teams as required.
Provide explanations of procedure and processes to patients and their families regarding the pathway, verbally and by sending out relevant trust leaflets and instruction packs where appropriate.
Demonstrate high levels of empathy, sensitivity, calm and professionalism in all communications with patients and their families, recognising where referral to other sources of advice and support may be beneficial e.g., nurses or clinical colleagues.
To attend meetings and work groups to discuss changes to policies or procedures that affects all areas of patient pathways, relative to cancer patients, from referral to diagnostic testing, staging and treatment.
Undertake reception duties when required to support the operational delivery of the Nuclear Medicine (and PET/CT) services.
Provide secretarial services to medical consultants and other senior scientists in the department, including maintaining electronic diaries.
Support preparation of KPI and quality control of performance data.
Maintain patient confidentiality and adhere to General Data Protection Regulations at all time.
Maintain flexible working arrangements in times of sickness and absence of colleagues in order to facilitate the smooth running of the service. Extended clinic hours may require the post holder to work from 08:00 or up to 18:00.
Deputise for the Business Support Manager when appropriate.
Raise and track orders/invoices for goods and equipment that are required for the delivery of the Nuclear Medicine service.
To undertake any other duties and responsibilities which may reasonably be required.
