- Use and maintain admin and patient information systems/databases/reports in relation to patient pathway e.g. for tracking and flagging investigations and results, booking appointments, actioning onward referrals.

Telephone calls inbound/outbound relating to patients specific care, in a confidential, sensitive and empathetic manner, with patients, GPs, other departments and the wider health community.

Consultant & Nurse clinic and diary management.

Accurately transcribing from digital dictation or verbal instructions, outpatient clinic letters, results letters to patients and miscellaneous correspondence to a high standard and within specified timescales.

Attending MDT meetings and undertaking administration duties inclusive of transcribing hand written MDT outcome forms and taking notes.

Outcoming MDT meetings in an accurate and timely manner, preparing and dissemination meeting minutes, updating Medway and ensuring an accurate record.

Setting up and use of video-conferencing equipment to support MDTs

Assist in the development and continued administration of the COPD Regional MDT.

Supporting the management team in achieving the department targets, goals and aspirations.

Person specification

Experience

Essential criteria
- Proven experience of working within an NHS Trust in an administration role
- Experience of working and liaising within a multidisciplinary team

Desirable criteria
- Basic knowledge of medical terminology. Experience of working with a multi-disciplinary team

Communication and relationship skills

Essential criteria
- Must be able to clearly and accurately convey information both written and verbally to different audiences including patients, GPs, managers, administration colleagues and clinicians
- Able to participate in, coordinate and manage MDT meetings within an administration capacity

Analytical and Judgement skills

Essential criteria
- Ability to use initiative and judgement in dealing with non routine enquiries and situations, knowing when to escalate and who to
- Able to interpret clinical and non-clinical information in order to input accurate information into relevant databases and also to assist with manipulation of the data for audit purposes, etc
- Experience of managing waiting lists and MDT patients

Planning and organisation skills

Essential criteria
- Demonstrates excellent organisational/co-ordination/work prioritisation skills and meticulous attention to detail
- Ability to analyse and manage conflicting demands and prioritise workload.

Training & Qualifications

Essential criteria
- NVQ in Administration Level 3 or equivalent experience. - Educated to GCSE standard with passes at grade C or above for English and Maths or similar through vocational training

Desirable criteria
- RSA level 2 text/word processing. NVQ in Administration Level 4 or equivalent experience.
