An exciting opportunity for a **Part Time Receptionist** has arisen in our busy **Fareham office**. As a full service law firm, Glanvilles provides legal services to both individuals and businesses, with four offices across the South Coast.
This is a **Part time Reception Role**, working **20.5 hours p.week**;
- Mondays: 9am to 5pm
- Tuesdays: 12:30pm to 5pm
- Wednesdays: Non-working day
- Thursdays: 12:30pm to 5pm
- Fridays: 9am to 1pm
**Overall job purpose**: The prime tasks are; Reception attendance and front of house duties, and assisting with general office administration for all legal departments.
Day-to-day duties will include but not limited to:
- Reception (first point of contact).
- Answering the telephone, and meeting and greeting clients and visitors and recording the data into Microsoft Excel spreadsheets.
- Ensuring meeting rooms are set up, booked and kept tidy within Outlook Diary system.
- Providing refreshments as directed, including checking of stock levels and ordering water bottles and coffee machine items.
- Assistance and monitoring with opening and distributing post.
- Using IT software to include but not limited to; in-house case management systems, Microsoft package, archiving and retrievals through 3rd party, stationery requests through 3rd party and arranging collections of the office confidential waste through 3rd party.
- Administration support to all teams.
- Monitoring the office petty cash and taking card payments for clients in reception area.
- Assisting all teams with general ad-hoc tasks such as certifying ID, data entry, accepting documents from clients, scanning and photocopying etc.
- Assisting with office H&S with the HR Manager, including monthly H&S checks and fire warden duties.
**Skills Required**:
- Be polite and professional with a good vocabulary (both written and spoken).
- Confident in dealing with people of all levels.
- Ensure each client feels valued.
- Be able to maintain confidentiality.
- Accuracy and speed when entering data into the system.
- Flexibility with occasional cover for reception team absences.
- Be familiar with Microsoft Office and willing to learn the use of other programmes.
**Job Type**: Part-time
Pay: £10,660.00-£12,792.00 per year
Expected hours: 20.5 per week
