**Job Summary**
To be the first point of contact for all Health Management customers who contact us by telephone or visit our New Broad Street Office.
To ensure that every customers experience with HML is special one, where our customers feel they have been treated in a friendly and professional and caring way.
To be the voice and face of Health Management.
To support the clinical team by providing an efficient and effective service to our customers.
To carry out a range of administrative and support activities.
Managing multiple diaries and ensuring smooth running of all appointments
Assisting with clinic stock auditing and control
Managing clinical supplies
Managing clinic rooms
Maintaining a 5* standards of clinic and client areas
Opening and closing the clinic
Start and End of day clinic room management
Hours of work - 08.15hrs to 17.15hrs with 1 hour for lunch.
**Essential Job Duties**
**Incoming Telephone Calls**
Answer within 3 rings
Transfer call to most appropriate available member of staff
Take messages as appropriate (caller, phone number and reason for call if possible)
Checking answer phone on a daily basis and filtering messages as appropriate.
Provide telephone cover for staff and managers during absence or attendance at meetings.
**Incoming / Outgoing Post**
Post to be delivered between 8.15 - 8.30 am
Contact Post Office if not received to claim refund
Open post and carry out initial sort (any queries refer to senior member of staff)
Forward post to staff not based in office
Ensure post is ready for collection by 4.30 pm
**Visitors to Health Management - NBS**
Meet and greet visitors
Ensure visitors book is completed and is taken out of the building in the event of a fire evacuation and in line with H&S requirements
Provide additional support during client visits including the provision of hot/cold drinks and ordering/ presenting lunch etc.
Manage the clinic rooms ensuring that it is presentable for clinics
Management of key fobs for all staff in clinic and office
Ensuring that all pre clinical assessment forms are completed
**Clinical Equipment and Supplies Management**
Sole point of contact for members of staff wishing to order stationery and other supplies
Ordering and monitoring stationery orders/deliveries (NB: Gain authorisation from the Clinic Manager for any orders where any single items is over £50)
Monitor other supplies (e.g. coffee, tea, cleaning materials etc) and re-order as/when necessary.
Organise emergency supplies (e.g. milk) as/when needed by requesting assistance from other members of staff.
Ordering and monitoring of clinical deliveries
Stock management of clinical supplies, to ensure that smooth running of clinic and all appointments take place
Medical supplies audit and compliance as part of CQC and SEQOHS.
Ordering in line with Budgets
**Key Management**
Keep a list of key holders and update as/when necessary.
Ensure fobs are ordered as and when necessary.
**Facilities Maintenance**
Be the first point of contact for any facilities issues (e.g. toilets, electrical problems, environmental management etc)
To ascertain problem and liaise with F&E Manager
Assisting with H&S and Clinical (CQC) audits
Ensuring the appropriate supplies are maintained
**Clinic Room Management**
Start and end of day clinic room set up
Clinical room audits
Ensuring that relevantstock and supplies are ready for clinician for day
Reporting any facilitates concerns to Facilities and Primary Care Service Manager

Ideally, the successful applicant should have significant experience in a similar front of house setting, working at a 5* standard in either a clinic or corporate setting.
Working hours are:8-5.30pm Monday to Friday - with an hour lunch
