Student Services Administrator and Receptionist

The purpose of the post is to provide flexible, adaptive administrative support in student services, reception and the school office.
**Key Responsibilities**
**1. **Student Services - Main Tasks**
- **Schoolcomms**_
- Administration of +pay (trips/shop items/dinner money).
- Talking parents through technical problems with accessing parent mail / paying money.
- **Administration**_
- Deal with any parent enquiries.
- Organisation of Parents’ Evenings
- Administration linked with school visits or sports events:
- Trip Consent Forms/Data Collection Sheets - updating any changes made by parents/carers.
- Student lists for trips/sports fixtures.
- End of Year trips - booking of year trips for years 7 to 9, liaise with finance re booking of coaches for all year trips, producing in-school lists for PPL, making sure all permission slips are in, collating all information for day / checking ticket bookings / liaising with PPL.
- Publish School Calendar for parents.
- Issue Proof of Education letters to Parents confirming their children attend the school.
- Provide college references for Year 11 students.
- Provide references for students who have left school
- General administration duties.
**2. **Student Services - Support Tasks**
**Student Services - window**
- Deal with general student queries.
- Oversee students signing in late or signing out during the day and ensure that information is recorded.
- **Uniform and lost property**_
- Supply spare items of school uniform to students where appropriate (e.g., school ties) and ensure they are returned.
- Communicate with parents where there are uniform issues.
- Looking after all student lost property.
- **First aid and basic medical care to students**_
- Provide first aid/support for pupils who are unwell during the school day and liaise with parents/carers/staff as required.
- Follow school procedures for managing and recording any accidents. Arranging for students to be sent home or to hospital as appropriate.
- **Lockers**_
- Administration - sending out letters and allocating lockers.
- Distributing and collecting keys.
- Checking condition and reordering lockers and keys.
- Moving around lockers allocations and keys accordingly.
**3. **Reception**
- Provide cover in reception during lunch and from 3-4.30pm daily, as well as flexible cover as required.
- Answer and forward telephone calls and pass on messages to staff.
- Ensure that all visitors are signed into the school in accordance with safeguarding procedures.
- Manage deliveries in conjunction with the site team (e.g. packages for individual staff members).
- Record all Examination Documents when delivered.
**4. **Administration**
- Provide administrative support to the school office.
