Part Time - 28 Hours per week will include weekends

New Build 62 Bed Care Home situated in the Lincolnshire coastal town of Mablethorpe in the county of Lincolnshire. The Home will offer Day, Respite, Residential and Dementia Care in a state-of-the-art new purpose built home.

To provide effective and efficient administrative support to the home, all units within the home and ensure that all administrative protocols in the home are followed, maintaining Blue Brick Healthcare standards.

**Main Duties and Responsibilities**:

- Carrying out general administrative duties in the home such as greeting visitors, typing, filing resident's charts, answering the telephone and maintaining the reception area.
- To maintain and implement the organisations administrative procedures in order to support Management, Administrator and Units in their daily tasks.
- Maintaining effective and clear communications with the Administrator, Home Manager, internal departments.
- Communicating with external bodies and professional organisations when required to by the Administrator and Home Management.
- Managing the correspondence received, by logging and recording accurately; while ensuring that appropriate people are notified in a timely manner.
- To support the Administrator by recording and complying with reception petty cash tin.
- Collation and provision with Senior Management and Home Administrator of daily reports such as equiry form, bed state and staff absence in a timely manner.
- Responsible for accurately recording daily events into reception communication book and any integrated communication systems.
- To be actively involved in the promotion of the independence, rights and choices of the Home Residents in relation to the job role.
- To assist the internal departments with their administration process, by ensuring that all relevant documentation relating to residents is obtained and creating relevant digital copies of the files according to the organisations policies and procedures.
- To maintain a professional attitude within the Home towards staff members, residents, relatives and professional visitors with clear communication to all staff, visitors and residents at all times.
- To assist the Home Administrator with the creation and archiving of relevant residents files, ensuring that organisational standards are kept at all times preserving a clear audit trail as required by the Company.
- To maintain the Coffee Shop area, provide refreshments when required, and ensure that the cleanliness is maintained to standard at all times.
- Facilitating viewing of the Home by protential clients, presenting the polite, compassionate and respectful values of Blue Brick Healthcare at all times.
- Assisting when required with the events that are organised in the home.
- Maintaining the files in the staff room, ensuring that the required forms are readily available at all times for both night and day staff.

**Essential Requirements - Skills and Abilities**:

- Self-motivated and ability to work on own initiative
- Highly organised and able to manage own time effectively and efficiently.
- Ensure confidentiality of information is maintained and data is kept secure at all times.
- Strong interpersonal skills, with the ability to communicate at all levels.
- Must have attention to detail when inputting data.

**Essential Requirements - Experience**:

- Working in administrative role.
- Experience of prioritising tasks and meeting deadlines without compromising accuracy.

**Essential Requirements - Knowledge**:

- Sound knowledge of using and devising spreadsheets and other aids.
- Proficient in the use of MS packages particularly word, excel and outlook.
- Willingness to undergo further training.
