**Responsibilities**
The warehouse Operative role is to be responsible for all stock from the point it arrives in the building, until it is despatched to and arrives safely at the customer.
Once a delivery has arrived, the warehouse operative should assume all responsibility for its correct receipt, labelling, condition, packing, storage, re-packing, and shipping, including chasing couriers to ensure delivery. Once a shipment is due to be detached, the warehouse operative should pick the goods, check them, and inform of any issues, securely pack them in suitable packaging for the despatch/country/region, include all paperwork. Liaising with courier and the sales office coordinator to make sure all despatches are booked in and completed on time and arrive at their destination safely.
The Warehouse Operative’s responsibility is also to ensure the warehouse and all associated systems (machines, forms, paperwork etc) are kept neat, tidy and logical; so to allow any other member of staff to immediately take over the role if applicable.
The following list is not exhaustive but is shown to give a better understanding of the role. Note, a good level of product knowledge will be needed, this is provided through training and general ‘on the job’ learning.
- Unloading of goods from incoming deliveries
- Checking incoming deliveries for accuracy and ensuring no damage prior to signing for
- Unpacking goods and checking for non-conformance
- Any non-conforming equipment to be segregated for further inspection/report
- Ensuring accuracy of all incoming orders, chasing suppliers if there is an issue
- Re-labelling, re-branding or re-packaging where appropriate, of incoming goods
- Placing goods into the warehouse stores in the correct locations as per the pre-set locations
- Correcting and or amending stock locations if they are not accurate or have changed
- Booking goods into stock and checking paperwork
- Completed paperwork should be submitted to the sales office for filling
- Organising a running stock count of goods to ensure accuracy of stock on inventory software. Keep a written record of any stock adjustments made using the Stock adjustment forms
- Organising a full stock take at least once per year to ensure general accuracy of stock figures
- Proactively checking for incoming or future orders with the sales office co-ordinator
- Picking the correct goods for any due orders, ensuing accuracy of item, quantity, and any options applicable
- Packing all orders securely, with adequate labelling to ensure accurate delivery to the end customer. International pallet packing ability essential
- Booking shipments with couriers via the computer system (web-browser based)
- Ensuring all orders are despatched on time, using the correct courier, on the correct delivery service and to the correct address
- To be the first line of contact with the courier and logistics companies to arrange shipments, arranging quotations, report issues, request PODs etc.
- Working closely with admin employees on shipping paperwork and certificates
- Ensuring the correct stock is in the correct location in the warehouse and that the correct location is labels to match
- Should a telephone be ringing for more than 20 seconds, to answer it and simply take a note of the caller’s name, company, contact number and any brief message. This message should then be passed onto the appropriate member of staff for processing
- To ensure all relevant certificates (personal or company related) are up to date. For example maintenance for all company equipment such as pallet stackers, etc.
- To keep a check on stock levels and report any issues to the sales office.
- To request training if any area of expertise is lacking
- To request assistance should he/she feel that the deliveries for the day need more time to pack/check than in available
- To order packing materials (etc) required for the job listed above
- To investigate other packing material suppliers to give better service / lower costs
- To re-sue as much packing material as possible it further aid the companies’ green ambitions
- To keep the general facility clean. Including sweeping up, making sure all warehouse/workshop bins are emptied once per week, making sure bathroom and kitchen facilities are clean, and maintained etc.
**General requirements**
- Working knowledge of the computer system, completer literate for Word, Excel, Outlook
- Good numerical understanding
- Working knowledge of equipment found in and around the company
- Operation of the phone system (call answering, message taking, call transfer etc)
- Good interpersonal skills for occasional customer contact
- To be available at all times during the working day, notwithstanding bathroom breaks or lunchtime
- To save money for the company where possible, but not at the expense of offering a superior service to our customers
