Our client is looking to appoint an experienced Administrator to join their team based in Inverness.

The Office Administrator will be at the heart of company operations and will assist the operational team to carry out their duties and be a key part of the support team, organising all aspects of the work and helping make sure that the company back office functions. Working as part of a small team of operational and office staff, you will be involved in all aspects of the Company’s projects from sales through to delivery and then onto regular maintenance. The primary focus of the role will be supporting the project and maintenance activities beginning with providing support to business development, working with the operations team to order materials & scheduling work, preparing job packs and working with the finance function to ensure timely invoicing.

**Duties include**:

- General Administration including postage & shipping.
- Processing timesheets and holiday sheets.
- Printing & general office duties.
- Assist Finance where required with Purchase Orders.
- Maintain company calendars and scheduling work.
- Taking incoming phone calls.
- Assisting with Marketing administration and supporting business development activities.
- Administrative support for Shows/Conferences.
- Maintenance of Sales and Marketing data (incl enquiries database).
- Review of competency logbooks in conjunction with the Operations Director.
- Schedule and monitor training.
- Support and prepare company procedures.
- Maintenance of GDPR procedures.
- HSE i. Provide support updating policies and procedures ii. Maintenance of existing, i.e. lifting register.
- Ordering materials.
- Generating Workpacks.
- Arranging travel & accommodation.
- Collating and filing service data.
- Project specific support as required.
- Providing support to onsite staff.

**Person Specification**
- Must have 3-5 years’ demonstrable administrative experience:

- Maintaining Company Calendar & Scheduling.
- Experience in a similar central office administrative role.
- Working with Clients and Suppliers & Colleagues to coordinate operations.
- Working as part of a small team, in both leading and supporting roles.
- Prioritising your workload to meet changing requirements.
- Preferred Skills
- Basic Quickbooks skills an advantage.
- Ability to work flexibly as part of a small team and as determined by business requirements.
- Organisational skills, be able to multi task and move between duties as priorities require.
- Ability to use own judgement & Initiative to make and take responsibility for decisions.
- Microsoft Office skills including Word, Excel & Outlook.
- Clean Driving Licence.
- The right to live and work in the UK.
