**Office Administrator Job Description**
**Introduction**:
- We are seeking a Office Administrator to join our growing organisation as it supports the Royal Navy in Portsmouth.
- You should have great attention to detail and be able to juggle multiple tasks simultaneously in a structured way, working with the local team to support ongoing activities.
- You should be a clear communicator.
- This role is aimed at established Site/Office/Business Administrators, as well as those from Engineering backgrounds who are keen to gain experience across large UK Shipbuilding and Ship Repair Projects.
**Required**:
- Strong IT skills across MS Outlook, MS Word and MS Excel
- A full UK Driving Licence - you may need to drive company vehicles
**Desirable**:
- Coming from an Engineering or Construction background would be of benefit.
**Employment Terms**:
- 40 hours per week inclusive of ½ hour daily lunchbreak
- £22,000 - £26,500 Per Annum, dependant on experience
- 25 Days holiday, plus E&W Bank Holidays
**Front Office Operations**
- Responsible for organizing the Office Diary
- Answering and directing telephone calls
- General administration support according to office requirements
- Scheduling & coordinating meetings
- Travel arrangement & accommodation
- Co-ordination and interfacing with service providers
- Supporting site leadership personnel
- Responsible for office upkeep/maintenance
**Accounting**
- Petty Cash Management
- Expense reimbursement to employees
- Provide financial information as requires by the Head of Office, and maintaining office budgets
- Collate staffs’ weekly timesheet
**Procurement**
- Source for quotations
- Ordering of consumable stock and overseeing cost control
- Source local labour buy producing job adverts
**Marketing**
- Create Word Documents / PowerPoint slides for presentations where applicable
- Create and manage marketing lists on database
- Manage & update weekly/monthly IM UK Linked In & Facebook Page
- Source IM corporate merchandise
**Personnel**
- Maintain & keep up to date staff information
- Keep records of holidays and sickness of employees
**QA**
- Responsible for maintenance of document control and archival systems
- Review document change controls and administration
- Assist production in filing welder’s certs, mill certs and all relevant documentation to create Quality Assurance packages for each individual job
- Filing and control of documents of external origin such as customer documents, ISO standard, etc
**Salary**: £22,000.00-£26,500.00 per year
