**Whytematter** are delighted to be recruiting for one of six North/South Implementation Bodies established under the British-Irish Agreement of 1998. It is the cross-border navigational authority responsible for the management, maintenance, development and promotion of over 1000 km of inland navigable waterways, principally for recreational purposes.

They are excited to bring on a **Senior Administrator** to join their growing team.

**LOCATION**: Enniskillen

**STAFFING RESPONSIBILITIES**:Administrator, Clerical staff and Support Service Officer

**HYBRID**:2 days on site 3 days WFH

**HOURS**: 37 hours per week

**SUMMARY OF ROLE**

To provide and manage an efficient and pro-active administrative support service for Waterways Ireland, managing staff, projects, and other resources to enhance service delivery and contribute to the achievement of business objectives. This role will include the obligations of Data Protection Officer and Equality Champion for the Organisation.

**KEY FUNCTIONS**:

- Resource Management for own area of responsibility - budget, staff
- Managing information
- Liaising and establishing relationships with a wide range of individuals and organisations
- Making presentations and exchanging information with a range of internal and external customers
- Preparing advice, briefing material, reports, and memos for senior staff
- Contributing to the development and implementation of business and strategic planning within business units

**DUTIES AND RESPONSIBILITIES**:

- Undertaking research and collation of information for projects as required
- Responsible for Parliamentary and FoI Questions and general correspondence
- Organisation, prioritisation, and allocation of work in Section, including Managing Governance and Compliance including GDPR - Data Protection, Records Management, FOIs, Policies, Facilities Management and Equality and Disability Agenda including Action Plan Delivery.
- Fulfilling as Data Protection Officer for Organisation.
- Fulfilling the role of Equality Champion for Organisation.
- Supporting role as Premises Officer.
- Preparation of briefing material for senior staff.
- Collation, analysis and presentation of verbal, numeric and financial information
- Attending relevant meetings and contributing to them. Taking and presenting accurate minutes. Chairing the Equality and Diversity Working Group.
- Initiate and develop alternative / additional work processes and procedures as required.
- Supporting and managing diverse projects for all areas within the organisation including Facilities Management projects for HQ
- Co-ordinate and organise meetings with senior staff from both public and private sector and other key interest groups.
- Identifying IT and office equipment needs in own Section.
- Development of policies and priorities for Waterways Ireland
- Management of information held within own section; recording, storage and retrieval.
- Deputising for senior management and colleagues as required.
- Liaising with a wide range of individuals and organisations including Government Departments
- Representation of the organisation and liaison with key stakeholders to achieve Waterways Ireland's goals.

**PERSON SPECIFICATION**

**_ Eligibility Criteria_**

**1a** A degree or equivalent, **and**

**1b** A minimum of three year’s administrative experience of which two years has included staff management responsibilities, **or**

**2.** Five years’ experience in an administrative role, of which at least three years has included staff management responsibilities, **and**

**_ Essential Criteria_**

- Must be able to demonstrate strong technical skills in Microsoft Word, Excel, Powerpoint and Microsoft Outlook.
