Role summary To provide an effective and efficient administrative and clerical service for all Consultants and their junior medical staff, Ward Matron and Critical Care Nursing team to assist in the effective running of the Critical Care department. The Administrator/Co-Ordinator will work with the Clinical Audit Coordinator, as well as Clinicians and other Health Professionals to research, collate, analyse and prepare data from a variety of hospital informations sources for clinical audit, and generally contribute to the promotion of clinical audit within the Department. The post holder will support the collection of data reported to the National Intensive Care Audit and Research database (ICNARC), ensuring that the audit process is carried through to completion and all data submitted is complete and accurate. Key responsibilities Administrator/Co-Ordinator To undertake all general office duties e.g.

To be responsible for the formulation of information into a clear and coherent format for the department. To be responsible for cascading agendas/documentation and taking minutes during monthly departmental meetings & other meetings as required, transcription and distribution of accurate minutes. To be responsible for the collection and tracing of medical records to and from the department. Booking patients appointments for Consultants with out-patient clinic commitments and audio typing of letters from such outpatient clinics.

Liaise with internal and external staff to obtain test results/information required for patients attending out-patient clinics. To assist the clinical director in the production of weekly/monthly anaesthetic rotas ensuring that these are checked, photocopied and distributed electronically within a specified time scale. To assist in the departmental induction of new medical staff on rotation. This involves ensuring that the necessary forms and information are distributed and returned and relevant contact details are obtained.

It also involves liaising with college tutors to ensure junior doctors attend tutorials. To monitor and record all leave for permanent members of staff in the department including Annual, Study, Professional, Sickness, Other and to advise staff of their allowances as required. To process travel requests for Consultants and their junior medical staff using the online booking system following authorisation from the appropriate manager/s. To process Waiting list initiative payments for Consultant following approval by the appropriate manager/s.

To process requests for ITU Seminar Room bookings. To provide the finance department with regular updated lists of Anaesthetic trainees. Responsible for updating the Anaesthesia and Critical Care intranet page, ensuring that relevant contact information and documentation is accessible. Responsible for ensuring DATIX Incident reports are presented at Consultant Anaesthetists Meeting Anaesthetic Medical Rota Anesthetic Medical Rota To provide effective management of the medical staff rotas for both anaesthesia & critical care unit.

To be responsible for the production of weekly anaesthetic rota for theatres & critical care unit. Take a lead role in filling all vacant shifts (including booking locums and re-allocation of staff to cover shortfalls) ensuring there is a weekly contingency plan in place. To roster all staff within the anaesthetic team ensuring all services are adequately covered and are within the required contractual frameworks. To arrange induction programs jointly with the college tutor and support training and development of medical staff To monitor and log annual leave and study leave requests for all the medical staff and raise any concerns with the Service Manager To arrange appropriate cover for all middle grade doctors on the rota during periods of leave and sickness.

Staff Management Staff Management To keep a track of all leaves Annual, Study, Professional, Other for all permanent members of the department. Manage Annual, Study, Professional and sick leave for the Advanced Critical Care Practitioners. Record all sickness on ESR for Advanced Critical Care Practitioners. Audit Audit To collate and input data to meet requirements of ICNARC in relation to critical care patients ensuring deadlines are met.

This will include Inputting data into Ward Watcher as appropriate, including gathering admission details from case-notes, daily ward round with consultants collecting organ support data (respiratory, cardiovascular etc), discharge details. Liaise with audit staff from other Trusts to obtain missing information relating to ICNARC data. Collection of Trauma data - keep record of each trauma admission, type of trauma, any delays on discharge, transferring hospital etc. Occupancy data Keep record of Daily/Monthly/Yearly occupancy figures to support Matron, Critical Care.
