Executive Assistant to Executive Director

The Trust is looking to recruit an Executive Assistant (EA) within the Executive Support Team.

The EA will provide comprehensive personal assistance, secretarial, operational and organisational support to an Executive Director (the Chief People Officer) and her wider team enabling efficient operation of their portfolios. Part of this fast-paced role will require for you to be an effective communication link between internal and external senior stakeholders.

The post holder will be expected to adopt a flexible approach to suit the variable and developing workload in the Executive’s portfolio.

**Required key responsibilities and skills**:

- To deal promptly with complex internal and external issues including enquiries and complaints as appropriate
- Using initiative to both identify the elements of the matter and problem solve suggesting possible solutions where appropriate
- Be extremely proactive in a very reactive environment
- Exceptional organisational and diary management skills
- High levels of flexibility and adaptability
- Flawless communication and presentation skills, both written and verbal
- Excellent telephone manner
- The ability to multitask and prioritise an everchanging workload
- The ability to work under pressure and reach/exceed deadlines
- The ability to work autonomously
- Highly skilled in minute taking and meeting preparation, preferably at Board level
- The ability to establish relationships at all levels across the business and with external contacts
- Confident with the full Microsoft Office suite
- Coordinate and assist with recruitment for your Executive Director

The organisation is implementing the We Care System. This system is a fundamental new model which champions empowerment, promotes innovation and bolster the connection and collaboration of staff throughout the organisation.

The We Care System utilises a multi-layered approach to improvement allowing staff to develop and produce a variety of ideas to combat the issues and problems that have been identified. The system allows for the deployment of:

- Strategic Initiatives which are long term projects and focus led and driven by our executive
- Trust Priority Improvement Projects which are short term projects allocated to a range of project teams made up from our staff groups focusing on impacting our True North metrics and breakthrough objectives
- Ward Based OMS which delivers daily management and continuous improvement on the frontline
