An exciting opportunity has arisen for an enthusiastic, highly organised and motivated individual to join the Medical Directorate Team at the Welsh Health Specialised Services Committee (WHSSC). The Medical Directorate has an important and varied role, and includes policy development, evidence evaluation, prioritisation of new interventions and medicines management. The Directorate also includes a Programme Management Office (PMO) that oversees several national programmes including PET and Molecular Radiotherapy.

The post holder will support the WHSSC Policy Project Manager with development of commissioning policies and service specifications, and will review and update processes to ensure that the portfolio of tasks is planned, managed and delivered effectively.

The post holder will support the running of the WHSCC Policy Group, which is responsible for review and sign of all new and updated commissioning policies and service specifications.

The post holder will also provide comprehensive administrative support to the Medical Directorate Team and the PMO. This support will include arranging meetings, taking minutes and distribution of papers for the individual Projects and various Workstreams.

To provide comprehensive project and administrative support to the Project Manager for Policy Review and Development and the Medical Directorate Team (including the Programme management Office (PMO)).

**This will include**:

- Providing support to the Medical Directorate, Projects and Programmes.
- Collation of agendas, papers and slide packs for project and programmes, including the timely production and management of minutes and action logs.
- Organising meetings.
- Providing administrative support to the senior management team in the Medical Directorate.

- Provide administrative support to the Medical Directorate for the management of specific projects, and will resolve day-to-day problems independently
- Have specific responsibility to provide direct administrative support to project and programme meetings, including the preparation of agenda, papers, slide packs and the production of accurate action notes and/or minutes at the meetings.
- To ensure timely collation, production and distribution of agenda’s, papers and slide packs for all supported projects and programmes as well as other necessary documentation for meetings/conferences as required within the time constraints.
- Support the Project Manager, Policy Review and Development and the Programme Design and Delivery Lead in the development of plans for key project work streams.
- To work unsupervised on a daily basis, prioritising own workload, using initiative as to what is routine and what is urgent.
- Be able to work proactively and autonomously, planning and co-ordinating own workload to meet project demands.
- Provide recruitment support, including on-boarding and arranging staff induction.
- To act as the first point of contact for enquiries from all internal and external stakeholders, including members of the public.
- Act as the first point of contact within the Medical Directorate for any queries or problems related to the projects and help ensure resolution.
- Make and receive phone and teams calls, using initiative and judgement when handling enquiries.
- Take action and provide feedback as appropriate and via video conferencing, ensuring that messages are relayed and action is taken.
- To act as a communication link with members of the wider WHSSC Team.
- To ensure all messages are relayed as quickly as possible to members of the Medical Directorate.
- To liaise with external organisations such as Health Boards, the Third Sector, Local Authority etc. as required.
- To maintain a project library, database and resources.
- To assist in project planning and training as required to support the function of the Medical Directorate.
- Provide and receive complex information relevant to the Medical Directorate.
- Help maintain content of the Medical Directorate internet pages on the WHSSC website and seek opportunities to improve communication and maximise efficiency.
