Executive Assistant

Your role will include diary/travel management, arranging and organising meetings and events and management of the property portfolio.
This is a varied role as part of the wider administration team based in our Head Office in the centre of Rochdale. It is integral in the organisation and requires an organised and skilled person who can provide an exceptional level of coordination and management across a number of areas.
You will be required to travel to visit properties, so a driving licence is essential.
Competitive salary dependant on experience
- **Diary Management** - co-ordinate internal and external appointments, conference/video calls, across time zones whilst proactively ensuring diaries reflect shifting priorities.
- **Property Management** documentation, communication with tenants and general property maintenance. Co-ordination of repairs, estimates and booking of appointments for contractors. Preparation of tenancy files and all associated documents. Liaising with building surveyors, the facilities team, solicitors, and on-site personnel. Dealing with landlord and tenant requests. Reading and interpreting leases.
- **Meetings and Events** - arrange internal and external meetings and events, including scheduling, greeting guests, coordinating logistics, catering, preparing agendas, circulating papers, tracking action points and taking minutes
- **Travel support **- organising visas, flights, trains, accommodation, transfers, currency, inoculations, scheduling meetings and preparing detailed itineraries and supporting briefing/materials
- **Research support - **collecting data, carrying out research (for instance reviewing online source material) and writing basic briefing material
- **Expense Management** - completing monthly claims, reviewing expenses and invoices for approval on behalf of management
- **General admin support **- assistance to the wider team as required
Key skills
- Well-organised, detail-oriented, ability to multi-task with great follow-up skills
- Strong written and verbal communication skills
- Previous experience at a similar level essential
- Ability to demonstrate organisational and planning skills and manage own workload effectively
- Ability to problem solve, think quickly and demonstrate good judgement
- A good work ethic, flexibility and enthusiasm to delivery work and results of a consistently high standard
- Exceptional attention to detail and can consistently produce work that is well organised and accurate
- Proficiency with Microsoft Office (Teams, Word, Excel, PowerPoint)
