In this role you will closely with the Senior HR Officer to support the Human Resource function by providing excellent human resource administration and liaise closely with the Learning and Development Officer to provide effective administrative support for the Learning & Development function.

**The Role**
- As our HR Co-ordinator, you will support the smooth day-to-day running of our HR department by providing effective administrative support. Specifically, you will ensure all staff records are accurate, including visa expiry dates, provide HR documentation to staff, assist with monthly payroll admin and issue staff cards for new starters. Supporting the full employment lifecycle, you will help with recruitment and onboarding processes, complete staff development admin and assist with employee relations issues.
- Additionally, you will:
- Provide basic HR advice
- Ensure staff 1-1s are completed
- Monitor staff sickness and absence

**About You**

To be considered as a HR Co-ordinator, you will need:
- Experience of office administration
- Experience of using HR Systems (ideally Cascade)
- Experience of working in a customer facing role
- Experience and understanding of customer care issues and awareness of diversity issues
- The ability to manage sensitive situations and maintain confidentiality
- Accurate word and data processing skills
- Excellent written and spoken communication skills
- Good IT skills including MS Word, Excel, Outlook and databases

**Overall Aim**

To support the Human Resources function by providing excellent administrative support.

**Principle Accountabilities**

**1. HR Administration**
- Maintain the HR system and electronic and personnel records to ensure accurate information is available at all times
- Monitor existing staff records for visa expiry dates ensuring the HR Manager is notified
- Ensure that referencing, proof of right to work and DBS checks are conducted prior to all appointments
- Provide HR documentation to staff as appropriate including GDPR consent forms and personal details forms ensuring they are returned and stored appropriately
- Set up calendar reminders for DBS checks, vaccinations, driving licence and car insurance checks etc
- Provide basic HR advice to managers and staff
- Respond to external reference requests in a timely manner
- Carry out periodic checks to ensure stored HR information is current and in line with the GDPR regulations; ensuring out of date information is removed, shredded or archived as appropriate
- Assist with the monthly payroll ensuring all approved adjustments are included and processed accurately within payroll deadlines
- Monitoring the completion of 1 -1 ensuring staff are reviewed in line with policy and notifying the HR Manager if 1-1’s are not being completed.
- Providing 3 months and 6 months probation review forms to managers for staff that have completed their review period.
- Ensure that managers have an induction programme ready for new starters
- Creating and issuing ID Cards to new starters

**2. Employee Relations**
- Assist as required with employee relations issues including taking notes or minutes at disciplinary, grievance and other meetings.
- Recording and monitoring staff sickness and other absence levels within the organisation.

**3. Recruitment and On-Boarding**
- Assist the Senior HR Officer with recruitment administration such as scheduling interviews, setting up meeting rooms, administering interview tests as required etc
