**Job Summary**:
The function of the Receptionist is the delivery of daily Practice services. We receive a range of patients and visitors with wide ranging needs on a daily basis.

The post holder will provide the highest standards of administrative support to the clinical team of Shirehampton Group Practice. They will always act in a helpful and courteous manner to patients, staff and visitors providing a high standard of customer service at all times.

Patient tasks may be carried out over the phone, face-to-face or with online communication, depending on patients’ preference and internal actions created from clinical contacts and processes.

You will need to display excellent communication skills. You must be able to prioritise tasks and be aware of how your role fits within the effective running of Practice services. You will receive, assist and direct patients in a courteous, efficient and effective way.

**Key Tasks**:

- The delivery of excellent customer service to all patients and visitors at all times. Maintain a constant awareness of and anticipate the needs of patients, clinicians and colleagues.
- Maintain confidentiality of all patient records and data at all times. Operate the Practice Clinical system; EMIS Web. Efficiently navigate patients’ electronic records with a full understanding on Information Governance and Confidentiality. Be aware of data security and system back-up.
- Receive patients and visitors both face to face and on the telephone. Ensure all appointments/home visits are booked with the most appropriate clinician for the patient’s needs. Answer questions and direct all patients to the most appropriate care pathway communicating clinical skills and appropriate timings.
- To ensure that patient information, useful literature and patient forms are available at all times.
- Process requests from patients and third party organisations. Patients or their representatives have the right to request access to their medical records. Accurately understand requests and ensure all information released has been checked and redacted in-line with lawful legislation.
- Deal with requests for copy notes and any other information from Solicitors.
- Accurate Registration of patients joining the Practice, maintenance of patient demographic information and assist with the timely return of records for patients leaving.
- Generate repeat prescriptions for patients registered at the Practice. Working with Prescribing Clerks to proactively manage and monitor the Practice Electronic Prescribing Service.
- Accurate Read coding into the Clinical system following guidelines to ensure data is added accurately to ensure patient safety.
- Accurate and timely processing of GP tasks.
- Responding to patient messages and enquiries in a timely manner.
- Participate in Practice improvement projects.
- Dealing with any community team requirements.
- Maintain an accurate records filing system.
- Attend, participate in and contribute to all staff meetings.
- Be able to cover all reception positions as necessary.
- Maintain GP rooms after each surgery ensuring Prescription Safety and adequate stock.
- Ensure building security - have thorough knowledge of doors/windows/alarm.
- Promote a working environment that encourages improvement and welcomes ideas that bring about positive change.
- Monitor premises maintenance and cleaning and report any issues to Management. Open and Close both sites as required. Contribute to ensuring security of premises.

**Job Type**: Part-time
Part-time hours: 23 per week

**Salary**: £10.70-£11.00 per hour
