**Sales Co-Ordinator**
**Location**:Harwell Campus, Oxford, OX11 0QX
**Salary**:£28,000 - £35,000 per annum
We are seeking a highly organised and detail-oriented Sales Administrator to join our growing team. This individual will play a crucial role in coordinating our expanding sales team, which covers global markets.
A vital element of this role will be the support you offer the Head of Sales and Marketing, offering scheduling support, arranging meetings and travel, and coordinating their diary with that of the Sales team, who often work across different time zones.
The Sales Administrator will also support the team by generating quotes, managing handovers to production, and ensuring efficient sales processes. This role is key to enabling the sales team to focus on generating new opportunities and closing deals promptly.
**Responsibilities**:
- ** Head of Sales and Marketing plus Team Coordination**: Assist the team in managing schedules, meetings, and travel arrangements, ensuring smooth communication and collaboration across different time zones.
- ** Travel Management**: Book appropriate flights, hotels and other necessities to enable the team to get where they need to be. Work closely with the Office Manager to arrange other colleagues’ travel when needed.
- ** Quote Generation**: Prepare and issue accurate quotes based on client needs, product specifications, and pricing structures, ensuring timely responses to customer inquiries.
- ** Project Handover**: Work closely with the production and project management teams to seamlessly hand over sales projects, ensuring that all relevant information and documentation are transferred accurately.
- ** Database Management**: Work with the team to ensure our CRM systems are accurate and maintained.
- ** Sales Support**: Assist the sales team in preparing sales materials and presentations, enhancing their ability to effectively communicate value propositions to potential clients.
- ** Purchasing**: Work with marketing to order merchandise, book conferences and booths etc. and follow through from order to payment to delivery and invoice input.
- ** Customer Communication**: Serve as a point of contact for customers regarding sales enquiries, providing general support and quick responses, and following up when appropriate to ensure customer satisfaction.
- ** Process Expenses**: Working with the team and the automated system to ensure data quality and timely submission of team receipts.
- ** Reporting**: Generate regular sales reports, tracking key metrics and providing insights to the sales manager to guide strategic decision-making.
**Role requirements**:
- Bachelor's degree in Business Administration, Marketing, or a related field is preferred.
- Significant experience in a sales administration/coordination role or similar, preferably in the technology or scientific research industry.
- Proficient in CRM systems (e.g., Salesforce), Microsoft Office Suite, and other relevant software.
- Excellent written and verbal communication skills, with the ability to effectively communicate across different teams and with clients.
- Strong organisational skills, with the ability to manage multiple tasks and prioritise effectively.
- Collaborative and team-oriented mindset, capable of working closely with sales, production, and other departments.
- Ability to identify and resolve issues proactively, ensuring smooth sales operations and customer satisfaction.
- Familiarity with global markets and cultures is a plus, as the role involves coordinating a team covering various regions.
