**Temporary Executive Assistant
- Hybrid Working**

The EA role is the key support to the Chairman of EMEA & APAC, as well as several Senior Managing Directors. The role is based in the London office with hybrid working.

The role requires a proactive self-starter who has significant **experience at Executive Assistant level supporting multiple senior stakeholders**. The role lends itself to a high level of autonomy, and therefore this is key role and would suitsomeone who is confident, engaging, and has an open personality. You will be able to prioritise effectively quickly identify and understand key issues, and creatively resolve them. You will be intuitive with a good understanding of people and an ability towork collaboratively with other departments.

**Key Responsibilities**:

- Extensive diary management, with regular review of diary with Chairman/SMD's and being proactive to minimise problems
- Forward planning the Chairman's diary including visits to our offices across EMEA & APAC. Organising travel including providing detailed itineraries both domestic and international
- Arranging meetings/lunches/dinners, organising room bookings, catering, room set-ups, video conferencing etc
- Preparation for meetings, taking minutes and pursuing action points that arise
- Managing Chairman and SMD's inbox and filtering requests
- Attend meetings on behalf of Chairman and report back
- Producing monthly management packs for Chairman
- Updating time management system for SMDs
- Processing expenses for SMDs
- Managing new suppliers and invoices for suppliers
- Entry of pursuits and conflict checks and producing reports using Salesforce
- Manage distribution lists
- Manage town hall meetings for EMEA & APAC offices, including agenda, and presentation slides for London Office Town Hall
- Ad-hoc Project management of large events (office wide/regional/national), from planning stage, budgetary control, accounting for quality through to delivery and post event reporting

**Requirements**:

- This role requires a minimum of 2 days in the office
- Significant Executive Assistant experience supporting at C-Suite level is essential
- A background working in professional services would be highly beneficial
- Able to prioritise conflicting needs and move fluidly between priorities; handles matter seamlessly, expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
- Strong analytical / organisational skills and creative problem-solving skills
- Able to communicate, collaborate and contribute positively across a matrixed organisation
- Effective interpersonal and communication skills (verbal and written); with the ability to interface with stakeholders at all levels
- Personable and professional, with a "can do" attitude
- Flexible, adaptable to change, someone who embraces a challenge and can operate successfully in a high paced environment
- Ability to use initiative, reliable, trustworthy, and used to handling confidential information and maintaining discretion
- Skilful attention to detail, whilst juggling several tasks and deadlines and self-assurance of quality of work performed
- Be comfortable with working independently
- Highly proficient in MS Office is essential
- Knowledge of Salesforce is desirable
