Pharmacy and Medicines Project Support Officer

Providing project support to the Integrated pharmacy and medicines optimisation programmes across Greater Manchester.
Job Purpose
Medicines and Pharmacy Project Support Officer will be working closely with the GM Integrated care medicines optimisation team and be responsible for:
- The role is to support the ICS Chief Pharmacist, the GM Central Medicines Optimisation team in the coordination and support of the Greater Manchester Medicines Management Group (GMMMG) Pharmacy and Medicines Optimisation subgroups.
- A main focus of the role will be carrying out project coordination and administrative duties for the 5 main subgroups of the GMMMG Board and the GM Antimicrobial Resistance (AMR) Board and Antimicrobial Stewardship (AMS) group.
- These subgroups meet at least monthly and therefore agenda coordination with the chairs, maintaining action notes for the meetings with planning proficiency is essential to this role.
- Project related duties are required to coordinate topics which the GM Medicines and Pharmacy groups undertake on regular basis.

**Key responsibilities**:
- The Project Support Officer is responsible for providing comprehensive administrative and project support to the GM Integrated Pharmacy and Medicines Optimisation programme. This will include working with team members to manage, track and report on programme/project progress.
- Schedule and organise meetings (e.g. 7 subgroup meetings) and other events. Plan/co-ordinate as necessary, undertake formal minutes for meetings and take follow up action plans, updated monthly.
- Progress chase on programme/project activities including liaison with senior managers and external suppliers.
- To be responsible for maintaining appropriate communication of relevant information.
- To prepare briefing information and deal with routine correspondence, drafting replies as appropriate.
- To foster good working relationships with all partners within the organisation and across organisational boundaries and liaise as appropriate.
- To maintain a high level of integrity and confidentiality in respect of the work.
Key Working Relationships
- Line managed by and closely working with the ICS Chief Pharmacist.
- Closely working with senior pharmacy colleagues within the GM ICB central and locality medicine optimisation teams, Trust Chief pharmacists and senior health and care professionals and where required, representatives of other departments and healthcare organisations, including non-clinical staff.
- Establish good working relationships with the chairs and deputy chairs for the 5 subgroups of GMMMG - Value, Safety, Improving Health inequalities, Workforce and Digital and the AMR and AMS meetings
Communication
- Foster and maintain strong working relationships with pharmaceutical colleagues in localities and trusts, including the medicines optimisation locality teams to coordinate the administration and support the successful delivery of the pharmacy and medicines optimisation programmes and projects across GM Integrated care in accordance with their planning timescales.
- Participate in relevant internal and external working groups/projects, services, and initiatives which may be complex, sensitive, political, and contain contentious information with the aim of providing information and analytical advice to the teams.
- Ensure close liaison and collaborative working with the GM ICB pharmacists and other healthcare professionals across GM, using persuasive, motivational, negotiating, empathic or re-assurance skills in all initiatives and projects in support of the 10 localities.
- Communicate on a variety of different levels depending on the audience i.e., are dealing with health professionals, clinical, or non-clinical colleagues. Information may be contentions, complex and require translation into an easily readable format to gain agreement or cooperation.
- Communication may involve one to one meetings and small groups.
