Band 4 Project Support Officer

South Warwickshire NHS Foundation Trust is seeking to recruit an enthusiastic, proactive, and motivated Project Support Officer to join our busy Remote Monitoring Programme

The Project Support Officer, along with their colleagues, will be responsible for the day to day running of the administrative requirements of the Programme Team, dealing with project requests, including collating required data, arranging and supporting project meetings, and co-ordinating project documentation.

To provide a comprehensive, high level administrative and support service to the Out of Hospital Division Programme Management Team.

The Programme is the centre for supporting projects related to remote monitoring initiatives, ensuring that they run efficiently and consistently and deliver expected benefits. The post holder has a key role in supporting these objectives in terms of time, quality, cost, scope, benefit and risk.

**The purpose of the role is to**:

- Ensure appropriate standards are met for documentation and control using PRINCE2 as appropriate
- Ensure that governance and management materials are produced and submitted in a timely manner in line with pre-agreed schedules and to the required quality
- Provide a centralised facility for the dissemination of management information
- Offer planning and support capacity
- Provide personnel and expertise to projects where appropriate

The post holder’s responsibilities will include providing administrative support to several of the Programme’s Boards and Workstreams. The post holder will work as a member of the Programme Team supporting the Project Managers as required.

Administrative support to Programme Boards, Workstreams and associated projects

**Key Responsibilities**:
Responsible for supporting projects and procurement of services to support project delivery

Manage the whole lifecycle of a project or programme of system change, ensuring excellent governance throughout

Work in partnership with members of the Programme Team to support the management and delivery of projects

Coordinate the preparation, distribution and submission of project and programme management documentation for purposes of performance monitoring and reporting.

Create reports and presentations, drawing on relevant performance data, using a number of IT packages.

Obtain information and reports on project delivery; use these reports to provide information on project delivery to the Programme Team

Work autonomously, providing high quality, accurate and timely project support to the network programme team.

Respond on behalf of network programme team colleagues to day-to-day administration requirements.

Proactively forward plan and manage office systems and communicate effectively to coordinate a range of functions.

Manage an efficient bring forward system to ensure papers are to hand for each meeting.

Compose and draft replies to correspondence from brief instructions.

Deal personally and effectively with routine correspondence.

Develop, organise, and implement departmental administration for the Programme Team.

Monitor and prioritise correspondence containing highly sensitive information which is received. This includes escalating, through an agreed process, correspondence that requires immediate attention

Administrative Support to Programme Team

Work closely with and under direction from Programme Manager to achieve the Programme objectives.

**Tasks include**:
Managing electronic mail using Microsoft Office Outlook software.

Manage the programme team diaries to ensure effective use of time, organisational requirements are met, which may involve rescheduling conflicting appointments and making appropriate travel arrangements as necessary.

Meeting Arrangements

Plan and make arrangements for large meetings and seminars, negotiate dates and times liaising with internal and external staff, book venues, arrange programmes as required and ensuring details are
