**Main purpose of job**:
Provide office support to ensure the smooth running of The Auchtermuchty Bond Warehouse and Bottling Operations. Provide general administrative assistance to every part of the business. Additional support may be required to other companies within the group.

**1. Documentation**
- Processing customer orders, raising sales orders
- Add / remove casks to Sage and Cask Management system
- Input dry goods and finished goods into Sage
- Create records for blending’s and remnants
- Remove production and maturation losses from Sage

**2. Planning and scheduling**
- Coordinate inbound and outbound transport schedule for both casks and finished goods
- Maintain the forward looking cask in/out balance forecast to a desired >95% utilisation
- Schedule bottlings to meet customer timelines and ensure dry goods availability
- Schedule warehouse services activity - Re-rack, regauge, blending, reduction etc

**3. Transport**
- Communicate with hauliers/couriers for movement of goods
- Book in drivers and despatch with relevant paperwork
- Movements input to EMCS

**4. Customer Service**
- Ensure a high level of communication with customers to represent all aspects of the business
- Generate quotes for warehousing and bottling services
- Generate stock reports for customers
- Build relationships with customers and become a main POC for all queries
- Investigate customer complaints

**5. General Office Duties**:

- Monitoring of the Team Inbox to ensure timely response to all internal and external customer inquiries and requests
- Maintain key relationships with customers and internal departments to build knowledge and understanding of customer needs and expectations
- Supporting the wider team when required
- Preparing samples for customer
- Diligence, be conscientious and reliable
- Excellent attention to detail
- Ability to use Excel and other Microsoft office software
- Experience using Sage
- The ability to work as part of a team as well as working on your own, ensuring all work is carried out to a high standard and in line with the company requirements.
- The ability to manage numerous tasks whilst managing your time effectively
- Ability to use MRP systems
- Maintain a clean and organised office environment
