**Title**

Front of House Coodinator - 12-month fixed term

**Purpose**

At Dentistry by Cure Clinics, our calm and comforting approach to championing oral health underpins our simple philosophy - getting to know our patients, building lifelong relationships, and being there when our patients need us most.

As Front of House Co-ordinator, you will be responsible for collaborating with other team members to ensure new leads are nurtured from the word go and feel valued throughout. You will be a confident and enthusiastic individual who is able to build rapport and nurture new relationships. You will be experienced in delivering the highest standards of administration and customer care.

You will provide general business administration and performance reporting to the Clinical Lead and Business Manager in line with KPI’s.

It is essential you are extremely organised, with excellent interpersonal and communication skills and have high levels of IT skills, and a willingness to work flexibly as part of a team.

**Dimensions**

Vacant role: 40 hours/week

Shift pattern - Monday 7.45 - 8.15, Tuesday 7.45 - 4.45, Thursday 7.45 - 8.15,

Friday 7.45 - 5.15. Weekend working may be required to cover when needed.

Salary - £25,000-28,000 per annum dependent upon experience

Reports to the Business Manager

**Essential Qualities**
- Experience of delivering front of house services in a similar or transferrable environment
- Knowledge and experience of general office procedure and administrative duties
- IT literacy including proficiency in data collection systems
- Evidenced expertise in MS Office.
- Excellent interpersonal and organisational skills
- Sound numerical skills
- Understanding of how to represent the Dentistry by Cure Clinics brand and its values
- Experience of delivering service excellence to customers/patients
- Possess excellent listening and communication skills
- Be punctual, focused, well organised, reliable and have a positive attitude
- Good personal presentation
- Caring and empathetic nature

**Desirable Qualities**
- Experience of front of house within a healthcare or dental environment
- Patient/Customer Relationship Management system knowledge
- Highly IT literate and quick to learn new software systems
- Understanding of sales process and sales target

**Activities**
- Ensure new, existing, and prospective patients experience a new kind of Dentistry by managing the patient journey to deliver an exceptional service, providing timely and high-quality communications to patients, ensuring they are fully supported and always informed throughout the patient experience.
- Provide a wide range of administrative duties to support the smooth running of Dentistry by Cure Clinics and the team.
- Coordinate all Dentistry by Cure Clinics activity, ensuring that exceptional service is provided to all customers.
- Assist in the monitoring of patient leads from all sources to ensure potential patients are engaged and understand the benefits of Dentistry by Cure Clinics vision.
- Work closely with the Clinical Team to ensure the handover of essential information is provided to support the patient journey.
- Closely monitor the patient experience at each stage to ensure that customers feel that they are receiving the appropriate level of support and aftercare required.
- Manage the Dentistry by Cure Clinics environment to ensure that the customer receives exceptional service on each occasion.
- Ensure patient information and data is managed in accordance with the Data Protection guidelines, CQC and clinical governance requirements.
- Support the Business Manager with patient invoicing and documentation and taking payments, including credit control.
- Create positive interactions with all our customers, patients, guests, and team members.
- Deal with requests in an efficient manner, communicating with colleagues to ensure smooth delivery of service.
- Escalate any service issues to the appropriate management team member.
- To communicate effectively with dental laboratories surrounding the timely delivery of laboratory items to protect the patient experience.
