**Job Role Summary**

Line managed by the Administration Manager you will assist the team in providing a full admin support service to the Surgery and any staff members working with Maywood.

Duties can include, (but are not limited to) sending referral letters, summarising medical records, QoF-related tasks, completing Subject Access Requests, answering patient queries and managing bookings for certain health checks.

You will also be responsible for supporting the wider team with IT queries. Duties can include, (but are not limited to) responding to IT queries, resolving IT issues, training new and current team members.

**Primary Duties and Responsibilities of the role**

The following are the core responsibilities of the Business Support Administrator. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

- Accurate summarising and coding of incoming medical records within 2 weeks of arrival in the practice.
- Acting as point of contact for any medical students or other trainees, conducting building tour and systems training
- Supporting patients with booking LARC appointments, ensuring full utilisation of available appointments
- Supporting the management team as required with projects, systems and procedures as well as general admin work as required
- Process patient referrals via the official pathways
- Answer telephone and post, dealing with any queries or actions. Ensure patient confidentiality and security is respected when passing call information
- Help patients that present the upstairs reception desk
- Assist in the preparation and updating of leaflets and forms, letters, processes and policies etc.
- Monitor the Alivecor list and deal with any queries, issue the monitors and ensure accurate coding completed via the “multi-claims” process
- Covid & flu vaccine administration / dealing with visits/queries from patients/access/coding
- Action items within the shared team mailbox, as per agreed team protocols
- Assist the management team in ensuring maximum revenue is achieved for QoF and other initiatives by sending out various recalls to patients for health reviews
- Support and champion online access systems, help our patients to be comfortable using online access
- Dealing with IT & phone queries from Maywood and other colleagues
- Provide training to all staff as required, to ensure the effective use of all systems and software
- Coordinating the practice meeting room diary, ensuring meetings are scheduled appropriately
- Coordinating internal meeting arrangements, assisting with preparing agendas and producing and printing minutes for meetings
- Prepare and arrange meeting rooms as required, and as requested by meeting room booker
- Assist with the compilation and review of risk assessments where required
- Operating timely weekly fire alarm checks and recording the results, as well as any other designated checks on the planned date
