We are looking for a well organised and confident administrator to deliver competent and efficient support to our Time for You children and young person’s counselling service.

To be responsible for the administration of the children's and Young People’s counselling and support services, several which are delivered under contract, to monitor referrals, book appointments, ensure evaluation is collected and service targets are met as set out in service level agreements. To have excellent people and communication skills and have the ability to work supportively within a busy team and to provide a client centred, confidential service and deal sensitively with the public

This is a part-time post, salary is £25,000 pro rata, based in our main office, near Five Ways in Birmingham. The working hours will be daytime Monday to Friday, some flexibility may be required to include evenings and Saturdays. It may also involve working at other centres/locations from time to time to provide cover as part of the support team and attend relevant meetings.

**KEY TASKS & RESPONSIBILITES**

**Administration**

To be responsible for the administration of the Childrens and Young People’s counselling and support services, several of which are delivered under contract, to monitor referrals, book appointments, ensure evaluation is collected and service targets are met as set out in service level agreements.

To accurately setup Excel spreadsheets, input and retrieve data, produce timely and accurate monthly and quarterly monitoring reports and KPI statistics for bursaries, NHS, grants, and other contracts.

Input accurate data on to external systems, produce activity reports and provide service delivery updates

To ensure all monitoring and reports are completed and submissions are made on time

To liaise and work with our external stakeholders to support the administration of the service

To work as part of the admin team supporting the day-to-day delivery of appointments, liaise with counsellors, update on appointments, ensuring team targets are met and excellent customer service is achieved

Advise the Service Manager on relevant issues with appropriate information and recommendations

Attend meetings consistent with the role and contribute to team projects

Contribute to effective communication both internally and with external bodies and maintain good working relationships with Relate National and other local Relate Centres.

**Essential**

**Qualifications**:

- GSCE/’O’ Level (or equivalent) including English Language and Mathematics

Experience,
- Significant administrative experience in a relevant role
- Experience of using in-house systems and databases.
- Experience of contract monitoring and reporting

Aptitudes
- Good organisational, administrative IT skills
- To be proficient in using Excel & MS O365 is essential
- Ability to plan ahead, prioritise workload/s to meet deadlines
- Excellent interpersonal and communication skills
- Ability to gather information and produce clear and concise reports
- Ability to understand/present monitoring, and reporting purposes
- A ‘can do’ attitude and a positive approach to change
- Ability to work both independently and as a member of a small team
- Ability to provide a client centred, confidential service and deal sensitively with clients
- Ability to develop and sustain professional relationships and partnerships
- Willingness to work flexibly to meet business needs and travel to different locations
