Greens Norton & Weedon Medical Practice (GNWMP) are looking for an enthusiastic, committed, and flexible person/s for the role of Reception Administration to join our well-established two site practice.

We have two positions available:

- 1 x permanent
- 1 x 12-month contract (covering maternity leave)

Both working between 18-30 hours per week (covering 0745-1830 hrs plus enhanced access until 2000 hrs one evening on a rota basis and a Saturday morning).

**Experience**:

- Previous experience in a GP surgery or healthcare setting preferred, but not essential
- Strong administrative and organisational skills
- Excellent communication and interpersonal skills with the ability to multitask and prioritise effectively

**Main Duties & Responsibilities**:
To be responsible for undertaking a wide range of reception and administration duties and the provision of general support to the multidisciplinary team. Duties can include, but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing of information (electronic and hard copy), assisting patients as required whilst delivering a polite and professional service to the entitled patient population in a timely manner and in accordance with current policies.

Supporting the clinical team by signposting patients to the appropriate healthcare professional or service. Acting as the central point of contact for patients, the distribution of information, messages, and enquiries for the clinical team, liaising with multi-disciplinary team members and external agencies such as secondary care and community service providers.

The following are the core responsibilities of the Reception Administrator. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:

- Maintain and monitor the practice appointment system
- Process personal, telephone and e-requests for appointments
- Answer incoming telephone calls, transferring calls or dealing with the callers’ request appropriately
- Process and effectively signpost patients to the appropriate healthcare professional, depending on the presenting condition
- Initiating contact with and responding to, requests from patients, team members and external agencies
- Clinically code data on SystmOne
- Photocopy documentation as required
- Data entry of new and temporary registrations and relevant patient information as required
- Input data into patients’ healthcare records as necessary
- Direct requests for information, i.e., SAR, insurance/solicitors’ letters and DVLA forms to the Medical Secretary Team
- Manage all queries as necessary in an efficient manner
- Carry out system searches as requested
- Maintain a clean, tidy, effective working area at all times
- Monitor and maintain the reception area and notice boards
- Support all clinical staff with general tasks as requested
- Partake in audit as directed
- Support other roles within the administration team as directed, providing cover during staff absences
- Scan patient related documentation and attach scanned documents to patients’ healthcare records
- Complete opening and closing procedures in accordance with the duty rota
- Maintain and participate in the receptionist rota for lunch and enhanced access cover
- Support the health promotion lead and display promotional material on the allocated noticed boards and in the waiting room
- Undertake all mandatory training and induction programmes
- Attend a formal appraisal with their manager at least every 12 months. Once a performance/training objective has been set, progress will be reviewed on a regular basis so that new objectives can be agreed
- Contribute to public health campaigns (e.g., flu clinics) through advice or direct care
