**Job Summary / Main Purpose**

**MAIN DUTIES / RESPONSIBILITIES**
- To provide patient registration and reception duties in the Emergency Department
- To contribute to the smooth running of the Emergency Department. To contribute any ideas which may improve the quality of service provided.
- To highlight to clinical staff any patients who on arrival meet the criteria of time sensitive illness that are too ill to await triage i.e. Strokes, Chest Pain, Head injury, and bleeding and under 5’s
- To inform patients of delays while delivering a high level of patient service.
- To direct and if necessary accompany patients relatives to Resus or Relatives Room and inform nursing staff of same.
- To organise and prioritise own workload on a daily basis within Reception, dealing with frequent interruptions, re-prioritising workload where necessary.
- To maintain filing systems for patient’s medical notes and investigation reports, as in safe confidential storage, disposal of same, complying with legislation.
- To take telephone and personal enquiries from relatives who are often in emotional distress and other visitors to the unit and provide feedback to them from clinical staff
- To assist in the maintenance of on and off site filing systems used by the Directorate and assist in the destruction of any confidential documentation in accordance with Western Health & Social Care Trust Policies.

**To process information to departments within the hospital, other hospitals, General Practitioners and others deemed appropriate by line manager.**
- To register patients who attend ED on computerised Systems e.g. Patient Administrative System and Symphony System linking details with Health and care data, amending and updating where necessary, ensuring patient demographic details are recorded.
- To obtain patient details in a sensitive manner taking into considerations the diversities of the general public and the distressing and emotional situation.
- To complete closing of patients attendance on Symphony ensuring to monitor the performance of the interface between PAS and Symphony and report any delays to the System Manager.
- To print and validate and subsequent posting of GP letters generated by Symphony.
- To respond in the event of a major incident by contacting additional staff members to attend the Emergency Department as soon as possible
- clinical staff within the Department by providing administrative and clerical support including on occasion organising Taxi’s for ill and elderly patients.
- To adhere to confidential protocol at all times
- To work with line management to ensure that personal development opportunities are identified and realised.
- To book clinic appointments for patients on the ED database for Consultant led clinics and ensuring that all relevant documents are available.
- To follow agreed administrative process including validation of patient records to the PAS system with subsequent scanning and filing.
- To follow agreed administrative process of blood sample/x-ray reports for Consultant approval and subsequent scanning, filing and distribution to appropriate wards.
- To deal with occasional enquires from Police and outside agencies concerning missing people by searching on databases whilst maintaining patient confidentiality at all times.

Criteria **:4 GCSE’s (Grades A-C) including English Language or equivalent or higher educational standard* AND 1 years’ experience in a public facing clerical / administrative role OR 2 years administrative / clerical experience in a public facing role ** Experience in the use of Microsoft Office Products including Word, or equivalent
