Pete's Dragons provides support to all those who are impacted by suicide in the County of Devon. The charity also contains a comprehensive training department and one retail outlet in Exmouth as well as operating the Real Time Suicide Surveillance System for the County.

**Job Summary**

To be the Executive Assistant to the CEO (and senior manager team where required). To undertake a full range of secretarial and administrative duties for the CEO and ensure the efficient and effective running of their daily business.

**Skills Required**:
**Communication**:being the first point of contact for the CEO you will possess excellent communication skills.

**Time Management**: You will possess excellent time management and organisational skills to be able to deal with a multitude of tasks and a range of priorities.

**Main duties**
- To provide a welcoming and professional first point of contact within the charity for staff, trustees, beneficiaries and external stakeholders and contacts seeking contact with the CEO.
- To assist the CEO in organising their administrative workload. Liaising with the CEO regarding the events of the day and following up resultant actions.
- Maintain complex diary management, arranging appointments and meetings as appropriate and ensuring they are adequately briefed and have all relevant papers to be discussed.
- Assist in day-to-day HR procedures with a view to ensuring the smooth running of the organisation.
- Assemble and prepare papers and reports and reply to requests for information.
- Ensure the maintenance of clear and effective filing, records and other systems and to keep them updated.
- Take accurate meeting minutes and monitor the organisations risk register. Ensuring that matters arising are dealt with by the appropriate people within agreed timescales.
- Sort and prioritise incoming communications, filtering before passing to CEO and wider senior management team if deemed necessary.
- Work with the senior leadership team to collate and organise compliance policies, procedures, handbooks and governance documents.
- Draft correspondence and other documentation to the CEO’s specification.
- Manage the effective recording of complaints, concerns and satisfactions received by the CEO.
- Support the senior management team in the organisation and detailed planning of special events, such as away days and charity events.
- Undertake project/research work as required.
- Make necessary travel and catering arrangements.
- Organise workload and prioritise on a daily basis using own initiative and knowledge of the work with minimum supervision from the CEO.
- Maintain a high degree of confidentiality with regard to issues concerning members of staff and all stakeholders. Respond positively with tact, sensitivity and awareness to all stakeholders in relation to duties undertaken.

**Organisational Responsibilities**
- To work in accordance with Pete’s Dragons aims, objectives and values
- To meet agreed service levels and KPI’s.
- To work in accordance with all Pete’s Dragons policies and procedures, particularly those relating to safeguarding and child protection, equality and diversity, health and safety and data protection, reporting concerns to the CEO of designated safeguarding officers.
- To work flexibly to best meet the needs of the service which may include undertaking occasional evening and weekend work
- To promote the work of Pete’s Dragons and positive understanding, awareness and attitudes towards suicide bereavement and prevention, and mental health
- Be an ambassador for Pete’s Dragons

**Job Types**: Full-time, Permanent

**Salary**: £22,880.04 per year
